Position OverviewThe Bookkeeper & Administrative Coordinator will be responsible for maintaining accurate financial records, supporting daily administrative operations, and assisting with financial reporting. This role works closely with company leadership and external accountants to ensure financial accuracy, regulatory compliance, and efficient internal processes.
Key Responsibilities
- Maintain accurate daily bookkeeping for all company financial transactions, including sales, expenses, and inventory purchases.
- Record and reconcile point-of-sale (POS) and taproom sales within accounting software.
- Process, file and pay sales tax.
- Manage accounts payable and accounts receivable, including processing vendor invoices and tracking incoming payments.
- Perform monthly bank and credit card reconciliations.
- Track and categorize production-related costs such as fruit, ingredients, packaging, and supplies.
- File and pay monthly state excise tax payments and quarterly TTB excise tax payments.
- Prepare regular financial reports, including profit & loss summaries, expense tracking, and cash flow updates for management.
- Support budgeting efforts and monitor operational costs.
- Maintain organized financial records and documentation for compliance and audits.
- Payroll Services include payroll processing, payroll taxes, payroll forms, 1099 contract forms and maintain employee payment records.
- Onboarding new employees with paperwork and payroll and time clock system.
- Assist with benefit and workers comp audits
- Prepare and organize documentation for tax filing and work with external accountants as needed.
- Help track and maintain required licensing, compliance documents, and regulatory reporting related to alcohol production and sales.
- Provide general administrative support including data entry, filing, and vendor communication.
- Electronic Document Organization/Onsite Filing.
- Bank deposits.
- Communicate with vendors and suppliers regarding invoices, payments, and account questions.
- Identify opportunities to improve financial tracking and administrative systems.
- Assist with inventory tracking for cider production materials, cans/bottles, and taproom merchandise.
Qualifications
- Experience with bookkeeping, accounting, or financial administration (2+ years preferred).
- Familiarity with accounting software ( QuickBooks).
- Strong attention to detail and organizational skills.
- Ability to handle confidential financial information responsibly.
- Proficiency with spreadsheets and general office software.
- Strong communication and problem-solving skills.
- Experience in beverage, hospitality, manufacturing, or craft beverage industries is a plus.
- Must demonstrate a positive attitude, and the ability to work collaboratively while building solid relationships with our team, distributors, vendors and clients.
- Proficiency with computers and software
