Bookkeeper (Automotive Experience Required)

As we expand, we’re seeking an experienced Automotive Bookkeeper who wants to grow with a structured, organized business. We operate across multiple entities with unified operations, so strong attention to detail is essential. Experience in a multi-entity environment is helpful, but we’re happy to support the right candidate in learning our structure.


This role may be structured as part-time or full-time depending on availability and experience. Hybrid flexibility may be available, but this position cannot be fully remote. The candidate must be able to commute to both our Downingtown and Malvern locations as needed.


Position Overview

The Bookkeeper will manage day-to-day accounting functions, vendor reconciliation, and monthly reporting. You will work directly with ownership and our CPA to ensure accurate financial records and smooth operations.

We are not looking for a CFO — we’re looking for someone steady, detail-oriented, and experienced in automotive bookkeeping who wants stability and long-term growth.


Responsibilities

  • Reconcile daily shop sales from the management system to QuickBooks
  • Reconcile merchant processor deposits and cash receipts
  • Manage accounts payable, including:
    • Matching parts invoices to purchase records
    • Reconciling vendor statements
    • Tracking returns, credits, and core charges
  • Monitor and reconcile parts COGS
  • Credit card and bank reconciliations
  • Sales tax tracking and filing
  • Monthly close support and general ledger maintenance
  • Prepare financial summaries for ownership and CPA
  • Maintain organized, audit-ready documentation

Required Qualifications

  • Minimum 3-5 years prior bookkeeping experience in an automotive repair shop (required)
  • Strong understanding of parts purchasing, vendor statements, and credits
  • Experience working with QuickBooks
  • Strong reconciliation and problem-solving skills
  • High attention to detail
  • Ability to commute to both Downingtown and Malvern locations
