Bookkeeper & Compliance Coordinator

Location: In Office – Carlsbad, CA
Hours: Part Time Employment ~20 hours/week to start

Dogs On The Run is looking for a highly organized, detail-driven Operations & Compliance Coordinator to support daily bookkeeping and ensure our network of Pet Care Professionals remains fully compliant.

This role is critical to keeping our operations clean, accurate, and protected. If you thrive on structure, accountability, and getting the details right; while also looking for ways to improve how things are done, this is for you.

What You’ll Own

Bookkeeping (Daily)

• Maintain accurate records in QuickBooks Online
• Reconcile transactions and accounts
• Monitor income, expenses, and reporting accuracy
• Support invoicing and payment tracking

Compliance Management

• Track and verify Pet Care Professional requirements:
• Business licenses
• Insurance coverage
• Background checks
• Maintain accurate and up-to-date records in Notion and Time To Pet
• Follow up on missing or expiring documentation
• Ensure all professionals meet legal standards

What We’re Looking For

• Strong experience with QuickBooks Online (non-negotiable)
• Highly detail-oriented; you catch what others miss
• Organized and process-driven
• Clear, professional communication
• Ability to follow through and hold standards

And just as important:

• Naturally curious; you don’t just follow processes, you question and improve them
• Proactive in identifying inefficiencies and opportunities to streamline
• Comfortable suggesting and implementing better systems over time

Bonus (not required):

• Experience with Notion
• Experience with Time To Pet
• Background in operations, compliance, or admin support
