Bookkeeper / Executive Assistant

Job Overview
We are seeking a dynamic and detail-oriented Bookkeeper and Executive Assistant to join our team! This dual-role position offers an exciting opportunity to manage essential financial processes while providing high-level administrative and executive support. Your energetic approach and meticulous attention to detail will help drive our organization’s success and efficiency.

Duties

  • Manage day-to-day bookkeeping tasks using accounting software such as QuickBooks, including data entry, journal entries, and account reconciliations
  • Perform bank and credit cards reconciliations.
  • Prepare and review construction draws and cost trackings.
  • Purchase of Construction Finishes and materials
  • Communicate with Vendors and Subcontractors
  • Assist with budgeting activities.
  • Manage calendars, meetings, and scheduling.
  • Coordinate calls, including across multiple time zones
  • Assist with document preparation, contracts, and correspondence/
  • Organize and maintain project files and records.
  • Support day-to-day operational and personal needs.
  • Liaise with vendors, consultants, and internal teams.

Qualifications

  • Associate or Bachelor’s degree required
  • Minimum 3 years of working experience
  • Strong proficiency in excel
  • Excellent organizational and multitasking skills
  • High attention to detail and accuracy
  • Strong communication skills (written and verbal).
  • Spanish Speaking is a plus
  • Ability to work independently in a remote environment
  • Experience in real estate or construction is a plus

Work Environment

  • 90% remote role, based in South Florida
  • Must be available during Mountain Time working hours
  • Occasional in-person meetings may be required

Pay: $48,000.00 - $54,000.00 per year

Work Location: Hybrid remote in Miami, FL 33138
