Laurel Supply – Bookkeeper / Store Accounting CoordinatorPosition Overview

Laurel Supply is seeking a highly organized and detail-oriented Bookkeeper / Store Accounting Coordinator to support financial accuracy, operational execution, and administrative functions across the store. This role owns all accounts payable and accounts receivable functions, ensuring timely payments, accurate billing, and clean financial reporting.

This position plays a critical role in protecting margin, maintaining clean financials, and ensuring the business operates with discipline and precision.

Key ResponsibilitiesAccounts Payable (AP)

  • Process, review, and enter all vendor invoices accurately and in a timely manner
  • Match invoices to purchase orders and receiving documentation
  • Verify pricing, quantities, and terms; flag discrepancies immediately
  • Manage vendor payment schedules in alignment with agreed terms
  • Maintain organized AP records and ensure proper documentation
  • Build and maintain strong vendor relationships through clear communication and timely resolution of issues

Accounts Receivable (AR)

  • Manage all outgoing invoices, billing, and collections (if applicable)
  • Track incoming payments and reconcile against outstanding balances
  • Maintain accurate AR aging reports and follow up on past-due accounts
  • Ensure proper documentation and reconciliation of all receivables
  • Coordinate with leadership on any credit terms or customer account issues

Bookkeeping & Financial Management

  • Maintain accurate daily, weekly, and monthly financial records
  • Perform bank and credit card reconciliations
  • Assist with weekly sales reporting and financial summaries
  • Monitor and report discrepancies, shortages, and billing errors
  • Support month-end and year-end closing processes
  • Ensure compliance with accounting standards and internal controls

Store Accounting Coordination

  • Oversee full invoice-to-payment lifecycle from receipt to reconciliation
  • Track and manage vendor terms, payment cycles, and cash flow timing
  • Assist in managing cost of goods and margin tracking across departments
  • Support inventory accounting and shrink reporting processes
  • Maintain clean, audit-ready financial documentation at all times

Systems & Technology

  • Daily use of QuickBooks for AP/AR, reconciliations, and financial reporting
  • Utilize MarginEdge for invoice processing, cost tracking, and margin management
  • Work within Toast POS to reconcile sales and validate daily reporting

Daily / Weekly Responsibilities

  • Process and reconcile daily invoices and purchase orders
  • Maintain AP/AR logs, aging reports, and payment schedules
  • Conduct weekly invoice audits and discrepancy reporting
  • Assist with weekly inventory and cost tracking
  • Prepare weekly financial recap for store leadership

Qualifications

  • 2+ years of bookkeeping or accounting experience (grocery/retail preferred)
  • Strong hands-on experience with Accounts Payable and Accounts Receivable required
  • Experience with QuickBooks, MarginEdge, and POS systems such as Toast
  • Strong understanding of reconciliations and financial reporting
  • High attention to detail with strong organizational skills
  • Ability to manage multiple priorities in a fast-paced environment

Reporting Structure

Reports directly to the Store Director / Assistant Store Director

Job Type: Full-time

Pay: $72,000.00 - $79,000.00 per year
