Bookkeeper (Massachusetts residents only)

Work experience/Skills/Education: Cobblestone Management is seeking an experienced Part-time, Remote Bookkeeper to support our established credit risk management consulting firm. This role averages 30 hours per month with increased hours during the fourth and first quarters to support budgeting, CPA audit preparation, and related financial activities.

The ideal candidate brings 10+ years of bookkeeping or related accounting experience, a bachelor’s degree in accounting, finance, or a related field, and strong proficiency in QuickBooks and Excel plus at least one payroll software platform.

This role is primarily remote; however, candidates must reside in Massachusetts, preferably within 60 miles of Brockton, to allow for possible in‑person meetings related to laptop setup, IT updates, or other operational needs.

We’re looking for a detail‑oriented, reliable professional who is comfortable working independently and supporting a high‑standards, client‑focused environment.

Job Description

Payroll & Health Benefits: Manage the input of weekly time sheet information into vendor software system (Paychex), enter Paychex data into company's accounting software (QuickBooks), annually monitor Flexible Spending Account and update Paychex as needed. Annually review the company's health plan prior to renewal.

Accounts Receivable: Review and enter client invoices, record payment of invoices and maintain A/R in QuickBooks.

Accounts Payable: Pay invoices and post to QuickBooks and maintain files of paid invoices.

Monthly Reporting: Prepare bank reconciliations. Calculate payroll accrual and enter into QuickBooks. Prepare monthly Revenue Recognition Report to reconcile unbilled revenue amount for input to QuickBooks. Reconcile A/R billed vs. unbilled and reconcile A/P.

Year End:

  • Review year end Paychex payroll reports, reconcile to QuickBooks and calculate vacation carry-over.
  • Prepare Form 1099s from QuickBooks.
  • Request Safe Harbor calculation from 401K vendor. Prepare 5500 Report for 401K plan, review annual 401K testing reports, monitor PFML census and rates and monitor record retention files.
  • In February the following year, remit Employee Contribution to 401K vendor.

Other:

  • Monitor bank account daily and reconcile to paper register.
  • Communicate with President & CEO regarding annual reviews and employee pay increases.
  • Maintain payroll employee files.
  • Assist President & CEO with budget.
  • Gather data for insurance renewals (E&O, D&O, Cyber, Excess Cyber, Worker's Compensation, Fidelity Bond and Business Owners).
  • Gather data for Worker's Compensation audit.
  • Communicate with Paychex/Hireright for background checks for new employees and subcontractors.
  • Special requests from President & CEO

Pay: $40.00 - $60.00 per hour
