Job Overview
Thinkwell Makerspace Innovations is seeking a Nonprofit Bookkeeper to support the financial operations and compliance needs of a growing 501(c)(3) nonprofit makerspace. This role focuses on bookkeeping, payroll, and financial coordination using QuickBooks.
This is a contractor position, not an employee role.
Time Commitment
Services are expected to require variable hours based on agreed-upon deliverables and deadlines.
- During the initial onboarding and stabilization period, services may require a higher level of effort.
- After systems and routines are established, services are expected to average approximately 2–4 hours per week, with actual time varying month to month.
This engagement is structured around outcomes and deliverables, not fixed weekly hours.
Responsibilities
- Maintain the general ledger in QuickBooks
- Manage Accounts Payable (AP) and Accounts Receivable (AR)
- Coordinate payroll preparation, including compiling and reconciling payroll information for review and approval by the Executive Director, Treasurer, or third-party payroll provider
- Reconcile bank and credit card accounts
- Review existing records and support cleanup or reorganization as needed
- Prepare and provide accurate financial information and standard financial reports to the organization’s accountant, Treasurer, and Board, as requested, to support routine financial reporting and board review
- Support nonprofit financial compliance and reporting requirements
- Maintain accurate and organized digital financial records
- Other bookkeeping-related services as agreed upon, within scope
Qualifications
- Experience with nonprofit bookkeeping
- Working knowledge of GAAP and nonprofit accounting practices
- Proficiency in QuickBooks (required)
- Strong attention to detail and accuracy
- Ability to work independently and manage time effectively
- Experience supporting small nonprofits or community organizations preferred
Independent Contractor Status (Important)
- This is a 1099 independent contractor engagement, not an employment position
- Contractor retains control over how services are performed, subject to agreed-upon deliverables and deadlines
- Contractor is responsible for all applicable taxes, insurance, and business expenses
- Engagement will be governed by a written Independent Contractor Agreement
