Bookkeeper (Part-Time)

Hours: ~20–25 hours/week (flexible)

Family Service Center is a growing, community-based mental health organization serving individuals and families across the North and Northwest suburbs of Chicago.

We provide counseling for all ages—both in-person and via telehealth—and offer therapy in English, Spanish, and Mongolian. Through a sliding fee scale, we work to reduce barriers and expand access to care.

Beyond counseling, we partner with schools and community organizations to deliver outreach and education, supporting parents, educators, older adults, and the broader community.

Your work directly supports therapists, clients, and the sustainability of our mission by ensuring strong financial systems, audit readiness, and thoughtful stewardship of resources.

What you’ll do:

This is a hands-on, trusted role managing day-to-day financial operations with accuracy and care:

Day-to-Day Bookkeeping & Financial Operations

  • Maintain financial records in QuickBooks, including journal entries and general ledger support
  • Create and send client invoices and track receivables
  • Process and reconcile client and donor payments across multiple systems
  • Manage vendor payments across multiple methods
  • Prepare and make weekly bank deposits

Reconciliation, Reporting & Compliance

  • Reconcile bank accounts, credit cards, and financial platforms; investigate discrepancies
  • Maintain audit-ready records and support audit preparation
  • Assist with grant tracking and documentation requirements
  • Support payroll coordination with a third-party provider
  • Coordinate with an external CPA on higher-level reporting

Financial Oversight & Process Improvement

  • Monitor expenses, track budgets, and suggest cost control opportunities
  • Serve as point person for operational vendors (leases, service contracts, etc.)
  • Handle employee reimbursements with proper documentation
  • Help improve financial workflows and maintain strong internal controls

What we’re looking for:

  • 3+ years of bookkeeping or accounting experience
  • Strong working knowledge of QuickBooks and Excel
  • Experience with accounts payable/receivable and reconciliations
  • Ability to manage and reconcile across multiple systems
  • High level of accuracy, organization, and follow-through
  • Ability to handle confidential financial, client, and employee information with discretion
  • Comfortable working independently in a part-time, flexible structure

Nice to have:

  • Nonprofit accounting experience (fund tracking, grant compliance)
  • Experience supporting audits and working with external CPAs
  • Familiarity with donor/payment systems or EHR/healthcare billing systems
