Office/Business Manager — Member-Owned Tennis Club
Position Overview
The Office/Business Manager is responsible for managing the club’s day-to-day financial records with accuracy, transparency, and timeliness. This person oversees the daily operations of the front office and supports club leadership by ensuring organized, efficient, and member-focused service. This role supports the General Manager, Board and Finance Committee by maintaining clean books, producing reliable financial reports, and ensuring compliance with club policies and accounting best practices.
This role requires strong bookkeeping skills, attention to detail, and the ability to manage multiple administrative, scheduling, and financial tasks.
Key Responsibilities
Accounts Payable & Receivable
- Process vendor invoices, reimbursements, and payments
- Maintain vendor files and W-9s; track contracts and renewals
- Record member dues, assessments, court fees, and other revenue
General Ledger & Reconciliation
- Record daily transactions and journal entries
- Reconcile bank, credit card, and merchant accounts monthly
- Maintain chart of accounts and ensure coding accuracy
- Support month-end and year-end closing processes
Reporting & Compliance
- Working with GM, prepare monthly financial statements (P&L, balance sheet, cash flow)
- Provide reports to GM, Board and Finance Committee as requested
- Assist GM with annual budgeting and forecasting
- Coordinate with external CPA for tax prep and audits
Payroll & Benefits
- Process payroll and maintain payroll records
- Track employee hours, PTO, and benefits contributions
- Maintain confidentiality of employee and member information
Member Services & Front Office Support
- Greet and welcome members and guests and provide excellent customer service
- Answer phones, process guest fees, waivers, and reservations
- Assist with membership questions, new-member onboarding, and account changes
- Support members with event registration, account statements/adjustments,
- Coordinate internal and external resources, and cultivate relationships with members, staff & vendors
- Maintain organized filing systems, supplies, mail, and office equipment
Scheduling, Programs & Communication
- Schedule and update court reservations, leagues, lessons, and special events
- Support club programs and events (registration, flyers, charging members)
Operations & Administrative Support
- Provide administrative support to the General Manager and Operations Manager
- Maintain accurate member and employee records
- Coordinate with vendors and order supplies as needed
Pay: $60,000.00 - $75,000.00 per year
