The Protégé Project, NFP is seeking a highly organized and mission-driven Bookkeeping & Accounting Coordinator.
The Bookkeeping & Accounting Coordinator is responsible for supporting the financial operations of The Protégé Project by maintaining accurate financial records, processing transactions, monitoring budgets, and assisting with reporting requirements. This position plays a key role in ensuring financial accountability, compliance, and transparency while supporting the organization's mission-driven programs and initiatives.
The Coordinator works closely with organizational leadership, program managers, external accountants, auditors, and funding partners to ensure sound financial management and stewardship of organizational resources.
Key Responsibilities
Bookkeeping & Financial Records
- Maintain accurate and up-to-date financial records in accounting software.
- Record and reconcile all financial transactions, including revenue, expenses, donations, grants, and program-related expenditures.
- Process accounts payable and accounts receivable transactions.
- Prepare and issue invoices, receipts, and payment documentation.
- Maintain organized financial files and supporting documentation.
Banking & Reconciliations
- Reconcile bank accounts, credit card accounts, and other financial accounts on a monthly basis.
- Monitor cash flow and account balances.
- Assist with deposits and payment processing.
- Identify and resolve discrepancies in financial records.
Budget & Financial Reporting
- Assist with the preparation and monitoring of organizational and program budgets.
- Prepare monthly financial reports and budget-to-actual reports for leadership.
- Support financial reporting requirements for grants, contracts, and funding partners.
- Track restricted and unrestricted funding sources.
Grant & Donor Financial Tracking
- Maintain financial records related to grants and funding sources.
- Track grant expenditures to ensure compliance with funding requirements.
- Assist with donor contribution tracking and reporting.
- Support preparation of financial information for grant applications and reports.
Audit & Compliance Support
- Assist with annual audits, financial reviews, and tax preparation.
- Prepare financial documentation requested by auditors, accountants, and funding agencies.
- Ensure compliance with nonprofit financial policies and procedures.
- Support internal controls and financial accountability practices.
Administrative Support
- Collaborate with leadership regarding financial planning and resource allocation.
- Maintain confidentiality of financial information.
- Support organizational purchasing and vendor management processes.
- Assist with special projects and financial initiatives as assigned.
Qualifications
- Associate degree in Accounting, Finance, Business Administration, or a related field preferred.
- Minimum of two (2) years of bookkeeping, accounting, payroll, or financial administration experience.
- Experience using accounting software such as QuickBooks, Sage, Xero, or similar systems.
- Strong proficiency in Microsoft Excel and financial recordkeeping.
- Excellent attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines.
Preferred Qualifications
- Experience working within a nonprofit organization.
- Knowledge of nonprofit accounting principles and grant management.
- Experience supporting audits and financial reporting processes.
- Familiarity with donor management or fundraising databases.

Work Schedule
This position may be structured as full-time, part-time, contract, or outsourced bookkeeping support depending on organizational needs and funding availability.
