Bookkeeping & Accounting Specialist

Job Title:
The Ledger Whisperer
(aka Bookkeeping and Accounting Specialist)

Who We Are
Small, growing, and done with messy spreadsheets.

What You’ll Actually Do:
Own the numbers so the rest of us can sleep at night. No “wear 47 hats.” No surprise sales duties. Just clean, honest accounting that keeps our CPA from sending passive‑aggressive emails.

The Real Work (no fluff):

Daily & Weekly:

Enter transactions, categorize expenses, and reconcile bank/credit card accounts like a detective who actually enjoys it.

Manage accounts payable and receivable – pay vendors on time, get customers to pay us on time.

Process payroll support (hours, taxes, direct deposits) without drama. We have a third party that

Monthly & Quarterly:

Prepare financial statements (P&L, balance sheet, cash flow) in plain English, not riddles.

Handle sales tax filings, 1099s, and basic journal entries.

Investigate discrepancies before they become “remember that $2k oops?” stories.

Watchdog Work:

Flag unusual transactions or budget busters – you’re our early warning system.

Help with basic inventory costing or job costing if applicable.

Keep QuickBooks Online so clean you could eat off the general ledger.

What We Swear Is True:

You will not be asked to answer sales calls, chase leads, or “support the team” with cold outreach.

If you find a mistake and fix it, we celebrate. If you hide a mistake, we have a talk.

We micromanage exactly zero people. We’re too busy running the business to breathe down your neck.

Your Secret Weapons (requirements):

Bookkeeping or accounting experience (QuickBooks Online required – we’re not savages).

You know debits from credits without looking at your phone.

Intermediate Excel knowledge.

Attention to detail that borders on obsessive – in a good way.

A low tolerance for “we’ll fix it later” energy.

Nice‑to‑Haves (not dealbreakers):

Associate’s or Bachelor’s in Accounting (or close to finishing).

Experience with bill.com, Expensify, or similar tools.

You’ve worked in a small business and understand we don’t have a finance department of 12 people.

The Boring But Important Stuff:

Full‑time, in‑office or hybrid (we’ll figure it out).

Pay range: Starting at $50,000 per year

Benefits: health, PTO, and the occasional “leave early on Friday because nothing’s on fire.”
