Job Summary
Capti is seeking a detail-oriented and highly organized Finance & Compliance Coordinator to support the company’s accounting operations, payroll processing, financial reporting, and regulatory compliance requirements.

This role combines bookkeeping, administrative, and compliance responsibilities and is ideal for a candidate who is comfortable managing financial records, maintaining state and federal filings, coordinating with external partners (CPA, insurance brokers), and ensuring the company remains in good standing across jurisdictions.

The position reports directly to company leadership and works closely with the company’s CPA and external service providers.

Responsibilities

Accounting & Bookkeeping

  • Collect, deposit, and record customer payments
  • Perform collections for overdue payments
  • Match deposits to invoices and maintain accounts receivable records
  • Process payroll, reimbursements, and customer refunds and credits
  • Maintain and update QuickBooks records, including project tracking
  • Perform reconciliations of bank accounts and financial records
  • Maintain and update financial reports, budgets, and metrics
  • Calculate and report royalties to our partners

Compliance & Reporting

  • Maintain required state registrations and corporate filings
  • File quarterly state and federal reports
  • Prepare and submit Startup NY reports
  • Maintain compliance with tax withholdings, including imputed income reporting
  • Assist the CPA in preparing annual tax returns and providing required documentation
  • Help prepare contract and RFP paperwork

Insurance & Benefits Administration

  • Maintain workers’ compensation coverage
  • Maintain general liability, umbrella, cyber, health, life, AD&D, STD, and LTD insurance
  • Support benefits-related documentation and compliance

Records & Administrative Management

  • Maintain organized paper and digital financial records
  • Ensure documentation is audit-ready and compliant
  • Support internal documentation and financial process improvements

Requirements

  • 2–5 years of experience in bookkeeping, accounting support, or financial administration
  • Strong working knowledge of QuickBooks
  • Experience with payroll processing and quarterly reporting
  • Familiarity with corporate compliance filings and insurance administration
  • High level of accuracy and attention to detail
  • Strong organizational and time management skills
  • Ability to handle confidential financial and employee information with discretion
  • Proficiency in Microsoft Excel and Google Workspace
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred

Preferred Qualifications

  • Experience working with startups or growing small businesses
  • Experience coordinating with external CPAs and insurance brokers
  • Knowledge of multi-state compliance requirements

Job Type: Full-time

Pay: $55,000.00 - $75,000.00 per year
