Property Management Company
Position Summary
The Bookkeeping Manager is responsible for leading and overseeing the company’s bookkeeping department and managing all corporate billing functions for a property management company. This role ensures accurate financial reporting, efficient accounting operations, timely billing and collections, strong internal controls, and exceptional service to both internal teams and clients.
The ideal candidate is highly organized, detail-oriented, experienced in property management accounting, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Department Leadership & Oversight
- Supervise, train, mentor, and evaluate bookkeeping department staff.
- Establish and maintain department procedures, workflows, and performance standards.
- Ensure accurate and timely completion of daily, weekly, and monthly accounting tasks.
- Monitor workload distribution and staffing needs across the department.
- Promote accountability, accuracy, and customer service within the team.
Financial & Bookkeeping Oversight
- Be responsible for maintenance department billing.
- Oversee accounts payable, accounts receivable, bank reconciliations, journal entries, and general ledger activity.
- Ensure all bookkeeping activities comply with company policies, GAAP principles, and applicable regulations.
- Assist with month-end and year-end close processes.
- Coordinate with external CPAs, auditors, and tax professionals as needed.
- Monitor cash management procedures and internal financial controls.
Corporate Billing Oversight
- Manage all corporate billing operations for the management company.
- Ensure timely and accurate invoicing of management fees, project management fees, maintenance services, and other billable services.
- Review contracts and management agreements to verify billing accuracy.
- Monitor accounts receivable aging and oversee collection efforts.
- Resolve billing disputes and discrepancies in a professional and timely manner.
- Identify opportunities to improve billing efficiency and revenue capture.
- Have intimate working knowledge of payroll system and process.
Property Management Accounting Support
- Serve as a resource for accounting-related questions from community managers, board members, and company leadership.
- Assist with onboarding new association and property clients from an accounting perspective.
- Ensure proper setup and maintenance of accounting records and banking relationships.
- Support reserve projects, special assessments, and large-scale financial transactions as needed.
Systems & Process Improvement
- Evaluate and improve accounting and billing workflows.
- Assist in implementation and optimization of accounting and property management software systems.
- Develop reporting tools and metrics to improve operational visibility.
- Recommend and implement internal control improvements and best practices.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- 5+ years of bookkeeping or accounting experience, preferably within property management, condominium/homeowner association management, or real estate.
- Previous supervisory or management experience required.
- Strong understanding of bookkeeping principles, financial reporting, and billing processes.
- Experience with property management/accounting software preferred (e.g., Vantaca, CINC Systems, AppFolio, Yardi, or similar platforms), Peachtree (Sage), and NetSuite.
- Advanced proficiency in Microsoft Excel and accounting systems.
- Excellent organizational, analytical, and problem-solving skills.
- Strong communication and leadership abilities.
- Ability to manage multiple deadlines and priorities with a high level of accuracy.
Preferred Skills
- Experience with condominium/HOA, commercial, and residential accounting.
- Knowledge of trust accounting, reserve fund accounting, and CAM reporting.
- Experience managing corporate billing and contract-based invoicing.
- Process improvement and workflow management experience.
- Ability to lead through growth and organizational change.
Work Environment

Pay: $60,000.00 - $80,000.00 per year
