Brokerage Administrative Assistant

Job Overview
We are seeking a dynamic and detail-oriented Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our brokerage operations, providing exceptional administrative support to ensure smooth daily functions. The ideal candidate is proactive and possesses a strong foundation in clerical and administrative tasks.

QUALIFICATIONS:

  • Good organizational and interpersonal skills
  • Good written and verbal communication skills
  • Good computer skills; proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), with strong skills in Word and Excel
  • Good proofreading skills
  • Substantial experience with real estate business and contracts
  • Familiarity with real estate data services (e.g., CoStar, LandVision, Reonomy, Rethink+ CRM)
  • Familiarity with internet searches and web sites
  • Some marketing experience / AI a plus

RESPONSIBILITIES:

  • Provide general administrative support for several brokers, who are independent contractors with Ackerman & Co., in general – typing, filing, handling telephone calls, DocuSign and other business needs
  • Prepare regular reports to clients, as required
  • Maintain updated hard copy and network (computer) files of all real estate contracts; make contractual changes as required
  • Prepare commission vouchers and property comparison charts
  • Perform property and tenant reports from subscription data sources (CoStar property and tenant, etc.)
  • Provide support for special projects, such as large mailings, proposals, and presentations
  • Willing to learn specialized software and other skills, if required
  • Willing to accept additional responsibilities as required, including reception duties and mailroom duties
