Brokerage / Executive Assistant

Job Summary
We are seeking a dynamic and highly organized Brokerage / Executive Assistant to support our executive team and facilitate smooth operational workflows within our brokerage firm. Duties

  • Provide general administrative support to the Company President and brokerage team within a growing commercial real estate company involved in brokerage, property management, and maintenance.
  • Provide comprehensive administrative support, including calendar management, appointment scheduling, and email correspondence handling using Google Workspace.
  • Assist with project coordination tasks, ensuring timely completion of deliverables and effective communication among team members.
  • Manage office operations efficiently by overseeing filing systems, data entry, and document proofreading to maintain accuracy and organization.
  • Coordinate event planning activities such as client meetings, seminars, or team-building events, handling logistics from venue booking to material preparation.
  • Support personal assistant duties including travel arrangements, personal scheduling, and managing multi-line phone systems with professional phone etiquette.
  • Maintain excellent customer service standards by greeting visitors, answering inquiries via phone or email.
  • Handle clerical responsibilities such as filing, data entry, transcription, and document signing through platforms like DocuSign to ensure seamless workflow continuity.

Skills

  • Proven experience in office management or administrative roles within a brokerage or corporate setting.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and data entry software.
  • Excellent communication skills demonstrated through phone etiquette and professional correspondence.
  • Experience with event planning and project coordination to ensure successful execution of company initiatives.
  • Familiarity with multi-line phone systems and calendar management tools like Google Calendar.
  • Demonstrated ability to handle confidential information discreetly while providing executive administrative support.
