Building Superintdent

As Maintenance Superintendent at Spring Leasing and Management, you play a key role in making our apartment communities a great place to live. The Superintendent is a member of the Maintenance Team working under the direction of the Director of Facilities to provide world class service to our residents by making sure that the daily operation, maintenance and security of the building are maintained in a manner consistent with the policies of Spring Leasing and Management. The Superintendent is a “hands on” professional whose goal is to make sure everything is working right every day. The nature of the position requires maintaining on-call coverage of the property 24 hours per day.


Essential Functions:

  • Prepare daily work schedule for staff members.
  • Assign duties to maintenance staff and verify that the work has been completed satisfactorily.
  • Make repairs in the tenant’s apartments, the building common areas, the garage and the building exterior.
  • Oversee contractors and repairmen working in the building.
  • Promptly report any repairs that cannot be performed in house to your supervisor for assistance.
  • Maintain clean, properly illuminated, and well painted hallways, stairwells and public areas of the building.
  • Maintain the exterior appearance of the building, the sidewalks and grounds at all times.
  • Remove all graffiti immediately. Report it to your supervisor and send pictures along with an incident to the Home Office.
  • Maintain an adequate inventory supply of necessary materials and equipment. Keep a record of what is used and what remains in stock.
  • Request Purchase Orders for supplies as needed and address all repairs in a timely manner.
  • Perform weekly building inspections from the roof to the basement and keep a record. Follow-up as needed.
  • Prepare pre=maintenance schedules for mechanical equipment and keep a detail record.
  • Immediately respond to all emergencies. Notify the Main Office representative of all injuries, damages and property loss.
  • Make arrangements for emergency building coverage when planning to take vacation time or will be out of the building for more than 1 hour.


Vacant Unit Duties:


  • Prepare vacant apartments for the new occupants within 7 days.
    • When you receive possession of an apartment, perform a move-out inspection utilizing the company approved checklist. Fax the form to the Main Office.
    • Remove all garbage and/or furniture that has been left behind.
    • Order any materials needed to complete the repairs.
    • Do the necessary plastering of the walls and ceilings.
    • After making all required repairs, paint and clean the apartment as needed to the restore the unit to its original condition.
    • Schedule a walk through with the Director of Facilities or Director of Leasing, prior to showing the unit to the prospective applicant.
  • Once you have been notified that an approved applicant is ready to move-in, perform a move-inspection with the new tenant when they arrive to pick up their keys and have them sign off on the apartment.
  • Maintenance team members are not permitted to accept keys form tenants who say they are moving out unless you have permission from the office in writing.


Other Responsibilities:


  • Keep the lobby and entrance doors clean at all times.
  • One the porter’s day off, the superintendent has to clean the front of the building, take out the garbage, clean the garbage rooms and work the compactor.
  • Maintain the outside planters and gardens, tree pit on the sidewalk. Remove weeds on a weekly basis and water plants regularly in the morning or late afternoon.
  • Check the automatic sprinkler system on a regular basis to make sure it is working properly.
  • Make sure the building is in compliance with all Local Law and NYS Sanitation Department recycling requirements.
  • Certify that all apartments with children 11 years of age or younger have window guards or window stops on all window stop on all the windows. If they do not, immediately notify the Home Office as soon as you become aware.
  • During winter months snow removal must be clear within 4 hours after the snow stops falling between the hours of 7am to 9pm. If the snow stops falling after 9pm; but, before 7 am, the sidewalk MUST be cleared before 11 am.
  • Obtain the FDNY Certificate of Fitness for your Sprinkler/Standpipe fire suppression system.
  • Perform required monthly FDNY sprinkler/standpipe inspection and keep a written record in a logbook.
  • Maintain all major equipment logs for boilers, HVAC, elevators, etc.
  • Perform/Assist with special assignments as requested by Director of Facilities.
