TITLE: Administrative Assistant to the Superintendent of Schools & School Committee
REPORTS TO: Superintendent of Schools
JOB GOAL: The Administrative Assistant to the Superintendent & School Committee assists in ensuring the smooth and efficient operation of the Superintendent’s office so that it will have the maximum positive impact on the education of students.
QUALIFICATIONS:

Must have at least five years of experience in an administrative assistant position, with at least three years in a school setting;

Must be proficient with the use of computers;

Ability to utilize Microsoft Office, Excel, Google Apps, Student Management software and other computer software as needed;

Must demonstrate excellent communication skills and be able to work effectively with staff, students and the public;

Must have excellent organizational skills, interpersonal skills and be able to work independently;

Must be able to work on multiple tasks at the same time, set priorities, meet deadlines, and pay attention to detail;

Ability to perform all duties in a professional manner while recognizing and maintaining the confidential nature of the position;

May have such alternatives to the above as the Superintendent deems appropriate.
PERFORMANCE RESPONSIBILITIES:

Serves as confidential administrative assistant to the Superintendent.

Manages routine matters not requiring the Superintendent’s attention.

Maintains and manages the Superintendent’s calendar
-
Acts as liaison between the Superintendent’s Office and the public. Fields telephone and in-person questions from district employees and the public prior to escalating to the Superintendent.

Makes appointments for the Superintendent and arranges meetings with staff, parents and others.

Receives and screens all incoming mail to the Superintendent’s office.

Maintains records according to school requirements and in compliance with Massachusetts State Laws, federal regulations and other regulatory agencies.

Obtains, organizes, and prepares pertinent data as needed for correspondence, reports, notices, schedules, contracts, etc.

Maintains central office files and maintains files of correspondence to and from the Superintendent of Schools as required.

Prepares correspondence, contracts, professional materials and related forms/information for the Superintendent as required.

Prepares and maintains non-union and administrator contracts.

Processes purchase orders as required.

Organizes MCAS Results for Distribution to Schools

Organizes Kindergarten Program Registration

Creates and maintains school year calendars and calendar of leadership meetings
-
Assists in organizing End of Year and Opening Leadership meetings
-
Works with Town on School Building Postings, meeting materials
-
Posts All Meetings for Superintendent and School Committee following Open Meeting Law Requirements

Prepares All School Committee Meeting Materials, Agendas, Electronic Binders, Follow-Up and Minutes
-
Attends School Committee Meetings (Includes Evenings)
-
Organizes All SubCommittee Meeting Materials, Follow-up and Minutes
-
Supports School Committee Chair
-
Maintain the District’s Policy Manual
-
Other duties as assigned by the Superintendent.
TERMS OF EMPLOYMENT: Full Year.
EVALUATION: An annual evaluation of performance relative to responsibilities as described in the job description will be conducted by the Superintendent of Schools.
SALARY: $75,000-$85,000
START DATE: June, 2026
