Job Description
The Business Assistant I provides support for business, personnel and program support for the Field Operations Department at the Regional level. These duties include processing & examining payment vouchers, payroll & leave records, mileage reports, credit card/fuel card vouchers and travel vouchers. Duties also include customary interaction with clientele and performing activities typically associated with business & administrative functions. The Business Assistant I serve as a Lead by providing training and development of local support staff personnel and serves as a Lead for local business support operations. The Business Assistant I also serves as a point of contact for support staff personnel on agency administrative policies and procedures.
Responsibilities:
- Provide support for business, personnel and program support for the Field Operations Department at the Regional level. Process and examine payment vouchers, payroll & leave records, mileage reports, credit card vouchers/expense reports, fuel card vouchers and travel vouchers for accuracy, completeness, eligibility and conformance with State statutes, System policies and agency procedures. Customary interaction with clientele and performs activities typically associated with business and administrative functions. Maintains fiscal, administrative, personnel and program records. Provides assistance with moderate complexity relating to HR, IR, fiscal procedures, agency policy & procedures and programs.
- Serve as a Lead by providing training and development of local support staff personnel . Also serves as a Lead for local business support operations. Serve as a point of contact for support staff personnel on agency administrative policies & procedures. Assist with the hiring process of support staff personnel. Maintains day-to-day administrative operations of local office(s). Conducts administrative training for all staff in respective office(s).
Participate in agency-sponsored training programs and activities to support program initiatives. Serve as a backup for other support staff personnel when short-staffed. May require infrequent travel in State vehicles with overnight stays.
Provide support on local, regional and/or statewide emergency response operations.
Provide support for other agency departments as needed.
Other duties as assigned.
This is a security-sensitive position. The individual in this position is required to handle Protected Health Information (PHI) as defined by HIPAA regulations. The individual is required to handle PHI in accordance with A&M System's policy and is further required to complete HIPAA training as a condition of employment, within a reasonable time frame after the individual's employment and on an as-needed basis thereafter.

Education and Experience:
Required Education: High school diploma or GED.
Preferred Education: Associate degree in business or closely related field.
Required Experience: Minimum of one year in general office and customer service or accounting and customer service.
Preferred Experience: Minimum five (5) year's experience in general office and customer service or accounting and customer service with two (2) years as a Business Assistant II or equivalent experience.
Knowledge, Skills and Abilities:
Required Knowledge: Intermediate knowledge of word processing and spreadsheet applications (Word, Excel).
Preferred Knowledge: FAMIS/Canopy, Workday, Concur & FASTER. Intermediate knowledge of program operations and duties.
Required Skills: Sound judgement. Great attention to detail. Strong interpersonal and communication skills. Highly self motivated.
Required Abilities: Plan and organize. Highly self-motivated. Work independently and on team projects. Perform most duties with minimal instruction and supervision with a high degree of accuracy and proficiency in a time sensitive environment. Willing to learn. Multi-task and work cooperatively with others.
