Job Description
We are seeking a knowledgeable and organized Conference Co-ordinator to join our team. The ideal candidate will have a strong background in scientific research and event management with at least 1 year of experience. You will coordinate program-related events, such as workshops, symposia and international conferences, while maintaining communication with international speakers and delegates. You will be responsible for coordinating both virtual and hybrid program-related events, managing client relationships and ensuring the smooth execution of scientific events.
Key Responsibilities
Client Acquisition
- Identify and pursue potential clients to convert them into paying customers.
Sales Strategy Development
- Develop and implement effective sales strategies to achieve targets and maximize revenue generation.
Pipeline Management
- Manage and maintain a sales pipeline to track leads, opportunities, and conversions effectively.
Data Management
- Maintain accurate records and databases for participant details, payment receipts and paper titles using designated tracking systems.
Escalation Management
- Handle escalated queries and issues efficiently, ensuring timely resolution and customer satisfaction.
Website Maintenance
- Monitor the organization's website for accuracy and handle any necessary corrections or updates promptly.
Reminder and Follow-Up Initiatives
- Implement reminder and follow-up initiatives for presentation submissions, fee acknowledgements and document verifications to ensure timely completion.
Reporting
- Prepare and present sales reports, forecasts and performance metrics to management regularly.
Other responsibilities
- Coordinate program-related events, including workshops, symposia, international conferences and scientific events.
- Coordinate both virtual and hybrid program-related events, managing client relationships and ensuring the smooth execution of scientific events.
- Design scientific sessions for conferences, inviting professors, directors, managers, and executives from reputed organizations globally.
- Serve as the main point of contact for program chairs, session chairs, scientific committees, and invited speakers for conference content and communications.
- Form organizing committees and scientific squads with top-quality scientists in relevant research fields.
- Stay updated on new findings and current scientific inventions across related research fields.
- Provide valuable information to the scientific community to ensure successful events.
- Regularly report the status of conferences to the Director, Program Manager, and Team Leader.
- Lead external scientific communication with clients globally.
- Generate leads in terms of manuscripts and clients.
- Coordinate and manage scientific events, including CMEs, conferences, workshops and speaker sessions.
- Design new proposals based on market analysis.
- Prepare conference proceedings from the received manuscripts.
- Forecast team targets and ensure they are met.
- Provide valuable information to the scientific community to ensure successful events.
- Regularly report the status of conferences to the Director, Program Manager, and Team Leader.
Preferred Qualifications:
- Excellent communication skills, both written and verbal.
- Experience with scientific event (International Conference) management.
- Strong networking skills within the scientific community.
- Ability to manage multiple projects and meet deadlines.
- Professional telephone etiquette.
- Up-to-date with current scientific affairs and research advancements.
- Strong organizational and project management skills.
- Ability to work independently and as part of a team.
- Ability to generate revenue by achieving registrations (Sales) for the conference.

Pay: ₹15,000.00 - ₹20,000.00 per month
