Business Office Manager
Role Overview:
We are seeking a Business Office Manager to support our founders and growing team by owning the administrative and people-operations backbone of the company. This role ensures that office operations, HR processes, payroll coordination, internal culture support, and basic financial administration run smoothly and consistently.
This is a trusted, execution-focused role that handles sensitive information with discretion, maintains strong internal organization, and escalates decisions to founders as appropriate.
Key Responsibilities:
Office Operations & Administration
- Own day-to-day office operations to ensure a professional, organized, and welcoming work environment
- Coordinate building access, mail services, shared spaces, meetings, catering, and basic office technology support
- Manage office procurement, including purchasing office supplies, furniture, and equipment, within budget guidelines.
- Liaise with building management, facilities vendors, and subcontractors to ensure timely and satisfactory service
- Maintain internal documentation, calendars, and administrative workflows
- Perform general administrative tasks and occasional errands to support smooth daily operations
HR Process Coordination
- Coordinate employee onboarding and offboarding processes
- Administer benefits enrollments, changes, and required employee documentation
- Support performance review cycles through scheduling and follow-up
- Prepare payroll inputs, validate timekeeping data, and coordinate payroll runs
- Maintain accurate and confidential personnel files and HR documentation
- Serve as a neutral first point of contact for HR process questions, and escalate issues to founders as needed
Workplace Culture & Employee Experience
- Support founders in reinforcing company values and culture through consistent processes and communication
- Help ensure employees and visitors feel welcomed, informed, and supported
- Plan and coordinate internal events, team gatherings, and company activities
- Help ensure effective coordination and connection between onsite and remote teams
- Maintain an office environment that reflects the company’s brand, values, and commitment to employee well-being
Bookkeeping & Finance Support
- Manage accounts payable, including vendor bills
- Reconcile payment transactions with invoices
- Support expense tracking and basic budget reconciliation, while maintaining organized records and documentation
- Coordinate with external bookkeepers, accountants, and payroll providers as needed.
- Support month-end, year-end, and audit documentation requests as needed
Ideal Background
- 5+ years of experience in office management, business operations, HR coordination, or administrative leadership
- Bachelor’s degree in business administration or related field
- Experience supporting senior leaders in a small or mid-sized organization
- Experience handling sensitive information with professionalism
- Highly organized, trustworthy, discreet, and dependable
- Able to balance structure and flexibility in a growing environment
Job Types: Full-time, Part-time
Pay: $24.00 - $28.00 per hour
Expected hours: 30.0 – 40.0 per week
