Business Office Manager / Front Desk Concierge

The Business Office Manager / Front Desk Concierge will be in charge of occupying the front desk at all times, as well as assisting in financial / accounting processes for the facility.

Plan, develop, organize, implement, evaluate, answer phones, cover front desk during working hours and encourage resident to related programs and activities, in compliance with rules and regulations governing assisted living communities, employers and in accordance with Community policy. These responsibilities include the following:


  • Staff (assist with scheduling of staff as needed)
  • In-services (keep records of training and in-services of all care staff; assist the HWD/RCC with training if necessary)
  • Infection control (monitoring staff for proper techniques)
  • Answer phones
  • Cover front concierge desk (at all times)
  • new hire files/new hire paperwork (assist the ED)
  • new resident charts (assist when needed by the HWD/RCC)
  • Work Orders (MaintainX/TELS)
  • Nurse Call Medical System (pendant system) maintain, ensure new & existing pendants are in good order
  • Ordering of office supplies/ maintain office equipment (phones, printers, fax, etc.)
  • On-call (per rotation)
  • Payroll
  • Accounts Receivables and Payable
  • Collections
  • Other tasks as required


1. Recognize and respond to the needs of the residents and team members.

2. Assist with resident move-ins, transferring and move-outs (as needed).

3. Notify Executive Director of pending absence or tardiness of the staff within the time frame described in the personnel handbook.

4. Report and document to the Executive Director all complaints and grievances made by residents, families, visiting individuals, agencies, etc.

5. Make sure all residents leaving the community are signed out and back in when they return on the Resident sign in log.

6. Attend and participate in orientation programs, on-going training and educational classes.

PHYSICAL STRENGTH REQUIRED

Frequent body movements include, lifting, moving, transferring, bending (static forward bending), stooping/squatting and reaching. Able to do heavy lifting, pushing, pulling and/or carrying of objects weighing up to 25 pounds unassisted with twisting and turning or trunk. Ability to stand and walk for prolonged periods of time.
