Summary:
The Business Operations Analyst supports communication and workflow between the Finance Department and Clinical Operations team to ensure accurate and timely study data collection. This role maintains and monitors records in Clinical Conductor for the purpose of record keeping and invoicing, coordinates study launch activities and helps align operational data with financial requirements. The analyst also develops standardized tools and performs reconciliation of key study metrics in real time.

Duties:

  • Maintain and provide quality control study-related data in Clinical Conductor, including pending appointments, patient status, unscheduled visits (including procedures), screen failures, screening visits, and randomization details.
  • Monitor enrollment logs to ensure consistency between clinical and financial records.
  • Create and maintain standardized forms and templates to support consistent data collection and reporting.
  • Perform real-time management and reconciliation of Clinical Conductor data, including updating visits, monitoring patient status, and coordinating study closure with the Regulatory team.
  • Provide quality control and audit visits tickets including all invoiceable procedures.
  • Support clean-up of current data in Clinical Conductor
  • Coordinate study launch meetings with Clinical Research Coordinators, Finance, and Front Desk teams.
  • Organize bi-weekly meetings with Clinical Operations Coordinators and Finance to review study progress, data quality, and invoicing alignment.
  • Provide training, guidance, and support to staff on data entry requirements and workflows.
  • Partner with Finance to ensure study visit data is accuracy.
  • Prepare and provide accurate records for audits and internal reviews
  • Perform additional tasks as assigned.
  • Assist with Clinical Conductor system support, including troubleshooting user issues.
  • Ensure all daily visit status is updated in Clinical Conductor. Follow up with unpaid visits, pending visits, and incomplete visits
  • Suggest and support process improvements to enhance efficiency and accuracy.
  • Perform additional tasks as assigned.

Education/Experience:

  • 3+ years of business operations or accounting experience, preferably in a health care or clinical trial field
  • Understanding of generally accepted accounting principals
  • Strong understanding of Clinical Trial Management Systems and Clinical Payment Portals
  • Excellent analytical skills including proficiency in Microsoft Office software

Language Ability:

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

Job Type: Full-time

Pay: $33.00 - $35.00 per hour

Expected hours: 40 per week
