Business Operations Coordinator

About the Role

We are seeking a highly organized, proactive, and tech-savvy Business Operations Coordinator to support executive operations in a fast-paced IT services and communications technology environment.

This role is ideal for someone who enjoys solving problems, organizing information, improving processes, supporting leadership teams, and helping operations run efficiently. The ideal candidate is detail-oriented, resourceful, analytical, and comfortable interacting with executives, clients, vendors, and cross-functional teams.

We are looking for someone who takes ownership, communicates proactively, and can independently manage responsibilities while bringing ideas and solutions to the table.

Key Responsibilities

  • Manage schedules, meetings, travel arrangements, and executive coordination activities
  • Conduct research, gather data, and prepare reports, summaries, and presentations for leadership discussions
  • Create and maintain spreadsheets, dashboards, reports, and operational documentation
  • Prepare executive-ready materials using Microsoft Office tools
  • Proactively manage delegated tasks and provide timely updates without requiring follow-up
  • Coordinate communication with vendors, clients, partners, and internal departments
  • Support operational organization, workflow improvements, and process optimization
  • Utilize AI tools and productivity software to improve efficiency and streamline tasks
  • Assist with project coordination and operational follow-ups
  • Maintain professionalism, confidentiality, and strong communication standards
  • Perform other duties and responsibilities as assigned

  • Equivalent professional experience will also be considered
  • Candidates with strong analytical, reporting, and operational coordination backgrounds are encouraged to apply

Qualifications

  • 3-7 years of relevant professional experience
  • Experience working in Information Technology (IT) Services, Consulting, or Communications Technology industries perferred
  • Excellent written and verbal English communication skills
  • Strong professionalism and executive-level communication abilities
  • Advanced proficiency in Microsoft Office Suite, especially Excel, PowerPoint, Word
  • Strong research, analytical, and data organization skills
  • Ability to prepare professional reports and presentations for leadership teams
  • Experience using AI productivity tools, e.g., ChatGPT, Microsoft Copilot, Gemini, or similar platforms
  • Familiarity with project management and collaboration tools, e.g., Microsoft Teams, CRM or operational platforms
  • Ability to work independently with minimal supervision
  • Strong ownership mentality and follow-through
  • Strong organizational and time-management skills
  • Problem-solving and critical-thinking abilities
  • Customer experience and customer communication mindset
  • Multicultural perspective and ability to collaborate with diverse teams and clients is a plus

Pay: $30.00 - $35.00 per hour
