Business Operations Manager

Role Summary

Own the day-to-day business backbone of the company—financial operations, administrative functions, and internal coordination—so the CEO and operations team can focus on growth and service delivery.

This role is not just bookkeeping and not just office management. It sits in the middle of finance, operations, and administration.

Core Responsibilities Financial Operations (Primary Focus)

  • Own billing, invoicing, and collections (critical in MSP world)
  • Manage AP/AR and cash tracking
  • Coordinate payroll and vendor payments
  • Maintain accurate books (QuickBooks or equivalent)
  • Produce:
  • Monthly financial reports (P&L, basic balance sheet)
  • Basic KPI reporting (MRR, gross margin, etc.)
  • Work with external CPA / fractional CFO on:
  • Forecasting
  • Budgeting
  • Tax prep

Business / Office Operations

  • Manage vendors, contracts, renewals
  • Handle HR admin (onboarding, benefits coordination, policies)
  • Maintain internal processes and documentation
  • Keep the company “running smoothly”

Process & Systems

  • Identify inefficiencies and fix them
  • Help implement systems (PSA, billing workflows, etc.)
  • Create structure where things are messy

What Success Looks Like (this is crucial)

  • Invoices go out on time, every time
  • Cash position is always known
  • Month-end close happens within 10–15 days
  • CEO can answer:
  • “Are we making money?” without guessing
  • The business feels organized, not reactive

Must-haves:

  • Experience in financial operations (not just data entry)
  • Comfortable owning billing + cash flow visibility
  • Strong organizational and process mindset
  • Able to operate without constant direction

Huge plus:

  • MSP / recurring revenue / services business experience
  • Experience working with external accountants/CFOs
  • Familiarity with PSA tools (ConnectWise, Autotask, etc.)

Pay: $95,000.00 per year
