Business Operations Specialist

Position Summary

We are seeking a detail-oriented Operations Specialist to support our back-office operations, including accounts payable/receivable, lease data management, and system-based quality control.

This is an entry-level to early-career opportunity designed for individuals looking to build a long-term career in operations, accounting support, or real estate administration. Most responsibilities can be taught through training and hands-on experience.

We are looking for someone who is coachable, adaptable, and eager to learn, with the ability to support multiple operational functions in a fast-paced, structured environment.

Key Responsibilities

  • Process accounts payable and receivable, including invoices, payments, and deposits
  • Reconcile daily deposits and resolve discrepancies
  • Enter, maintain, and verify lease data, including charges and security deposits
  • Review lease terms, invoices, and financial records for accuracy and proper coding
  • Provide quality control support within the Yardi system to ensure data integrity
  • Perform routine audits of financial and operational data
  • Support and maintain accuracy within the company’s primary operating system
  • Provide administrative and operational support to satellite offices
  • Assist with reporting, data tracking, and internal documentation
  • Collaborate with internal teams to resolve discrepancies and improve processes
  • Occasional travel to South Florida offices may be required

Qualifications

  • 0–3 years of experience in administrative, accounting, customer service, or operations roles
  • Ideal for new graduates or candidates with up to 3 years of experience.
  • Strong willingness to learn and grow in accounting and operations systems
  • Highly coachable, open-minded, and receptive to feedback
  • Flexible and adaptable with the ability to manage changing priorities
  • Strong attention to detail and commitment to accuracy
  • Technologically savvy with ability to quickly learn new systems
  • Proficiency in Microsoft Excel and data entry tools
  • Associate’s or Bachelor’s degree preferred, or equivalent experience
  • Previous experience with Yardi or similar systems preferred, but not required

Compensation

$42,000 – $45,000 annually (based on experience)
