The Role
The Lifecycle Systems & Automation Manager owns the centralized CRM, automation, lifecycle, and reporting systems that power patient and client engagement across Ability Chiro, Brain Balance, and IllumInnate.
This is not a traditional marketing role nor solely an IT helpdesk role.
This role sits at the intersection of systems thinking, automation, data, human behavior, and practical AI-enabled tools.
You will design, build, and continuously improve the systems that connect:
Website → Lead → Patient/Client → Long-Term Advocate
Strategy → Automation → Measurement → Insight → Improvement
What You’ll Own
CRM & Automation Infrastructure
- Build, manage, and optimize CRM platforms (GoHighLevel, HubSpot, or similar)
- Design and maintain lifecycle automations, including:
- Welcome & onboarding
- Post-visit or post-session follow-ups
- Nurture & education sequences
- Re-engagement & reactivation
- Review and feedback requests
- Maintain clean data structures, tagging logic, pipelines, and segmentation across brands
- Integrate CRM with external tools, vendors, and platforms
- Identify opportunities to enhance workflows using AI-assisted automation, logic, or decision-support tools when they create real value
Retention, Referral & Lifecycle Programs
- Own email and SMS calendars, segmentation, and personalization across brands
- Build and manage scalable referral systems adaptable to each brand
- Own reactivation and retention workflows
- Manage review generation and reputation management tools
- Track and report retention KPIs:
- Repeat visit or session rate
- Referral growth
- Engagement trends
- Churn risk signals
- Use data patterns (and AI-supported insights when helpful) to identify retention opportunities earlier
Digital, Tracking & Attribution Systems
- Manage website updates and landing page builds (Squarespace or WordPress)
- Connect websites, landing pages, and CRM workflows
- Implement and maintain tracking pixels and analytics integrations
- Ensure accurate attribution and clean data flow across platforms and brands
Reporting, Insight & Optimization
- Build dashboards that provide leadership with clear visibility
- Translate data into concise, actionable insights
- Monitor system performance and outcomes across brands
- Identify improvement opportunities through analysis and testing
- Support leadership in understanding what the data is signaling — not just what it shows

- Experience building automated workflows from scratch
- Strong with email and SMS platforms

- Zapier, Make, or native integrations
- Website or landing page builders
- Pixel tracking & analytics
- Experience using AI-enabled tools to improve workflows, reporting, or operations
- Healthcare, wellness, or multi-location experience

Pay: $55,000.00 - $60,000.00 per year
Work Location: In person
