Buyer and Materials Coordinator

The Buyer and Materials Coordinator is responsible for purchasing, receiving, inventory management, and material coordination for the Landscape Division. This role works closely with Project Managers, Operations, vendors, and subcontractors to ensure materials are purchased accurately, received efficiently, and available to support project schedules.

The coordinator plays a key role in maintaining inventory accuracy, managing vendor and subcontractor relationships, coordinating job staging, and ensuring material costs align with company budgets and profitability goals.

Key Responsibilities

Purchasing and Vendor Management:

Purchase landscape construction materials, hardscape products, irrigation supplies, and related items
Develop and maintain relationships with vendors and suppliers
Solicit quotes and negotiate pricing, availability, and delivery schedules
Monitor material costs and identify cost-saving opportunities
Evaluate vendor performance and maintain preferred vendor relationships

Receiving and Inventory Control:

Coordinate and verify incoming deliveries for accuracy and quality
Maintain accurate inventory records and perform regular inventory counts
Monitor inventory levels and reorder materials as need
Investigate and resolve inventory discrepancies
Organize and maintain inventory storage areas

Job Staging and Material Coordination:

Coordinate and stage materials for upcoming landscape projects
Ensure project teams have the materials needed to complete work on schedule
Coordinate deliveries, transfers, and logistics between location and job sites

Catalog and Pricing Management:

Maintain product pricing within company systems
Update material costs and product information regularly
Support estimating and project management teams with current pricing information
Research new products and suppliers to improve quality and efficiency

Subcontractor and Operational Support:

Obtain and compare subcontractor quotes for project work
Build and maintain relationships with subcontractors and service providers
Assist in identifying opportunities to improve operational efficiency and project profitability

Perform other duties as assigned

Required Qualifications:

1 - 3+ years of purchasing, inventory, operations, or landscape industry experience
Strong organizational and time management skills
Proficiency with Microsoft Office, particularly Excel
Ability to manage multiple priorities in a fast-paced environment
Strong communication and relationship building skills
Valid driver’s license with an acceptable driving record

Preferred Qualifications:

Experience in landscape construction, nursery operations, or the green industry
Knowledge of landscape materials, hardscapes, irrigation products, and construction supplies
Experience with inventory management and purchasing software
