Job Summary
The Buyer is responsible for purchasing products from requisition to receipt, ensuring on time, cost effective, and accurate supply for the Food Service business. This role focuses on purchase order placement, vendor communication, issue resolution, and ensuring the right inventory arrives when needed based on system requirements (MRP).
The Buyer partners closely with Sales, Customer Service, Product Management, and Operations to ensure purchase orders are placed, confirmed, and delivered in alignment with customer expectations while maintaining clean and accurate SAP data.
This is an execution focused role designed for a detail oriented, organized individual who can manage multiple priorities and ensure smooth supply chain flow.
Essential Duties & Responsibilities
Purchase Order Execution (Core Buyer Work)
- Create, issue, and manage purchase orders based on system generated demand.
- Review and process PO acknowledgments, ensuring accurate pricing, quantities, and dates.
- Manage order changes, expedite requests, and follow ups to ensure timely delivery.
- Reconcile invoice discrepancies, receiving inconsistencies, and delivery issues.
- Update SAP with accurate lead times, vendor confirmations, and notes.
Supplier Communication & Issue Resolution
- Maintain strong relationships with suppliers to ensure communication flow, timely updates, and issue resolution.
- Address and resolve: Overdues, Lead time changes, Short shipments, Damages, Backorders, Non conforming material
- Coordinate return material authorizations (RMAs) when necessary.
Inventory Stewardship
- Monitor stock levels to prevent stockouts while minimizing surplus inventory.
- Manage inventory accuracy and availability for assigned SKUs.
- Identify risk items proactively and escalate as needed.
Cross Functional Support
- Communicate supply delays, constraints, or PO issues with Sales and Customer Service.
- Work with Product Management on product transitions, new items, and discontinued SKUs.
Continuous Improvement
- Participate in process improvements related to purchasing, PO workflows, and data accuracy.
- Contribute to standard operating procedures to improve efficiency and reduce errors.
Education & Experience Requirements
- 2–5 years of experience in purchasing or supply chain operations (distribution, beverage, foodservice, or consumer goods preferred).
- Strong communication skills with a proactive approach to supplier follow up.
- Detail oriented with strong organizational and problem solving abilities.
- Proficiency in Microsoft Office; Excel and SAP experience strongly preferred.
- Bachelor’s degree in Business, Supply Chain, or related field preferred.
- Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
Physical Demands & Work Environment
- Primarily sedentary role involving computer based work and communication with internal and external partners.
