Duties
- Greet visitors warmly, manage check-in/check-out procedures, and direct them appropriately
- Operate multi-line phone systems to answer inquiries, route calls efficiently, and provide excellent customer service
- Maintain organized front desk area, including filing, data entry, and managing office supplies
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools
- Handle clerical tasks such as proofreading documents, managing correspondence, and updating records with accuracy
- Ensure phone etiquette standards are upheld at all times while providing prompt support for customer inquiries or support requests
Experience
- Previous experience working at a front desk or reception area in an office setting
- Proven ability to manage multi-line phone systems with professionalism and efficiency
- Bilingual skills are highly desirable to assist diverse clients and visitors effectively
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
- Demonstrated organizational skills with the ability to multitask in a fast-paced environment
- Clerical experience involving filing, proofreading, calendar management, and administrative support tasks
- Customer service background with excellent phone etiquette and interpersonal skills
- Familiarity with office management software such as QuickBooks or similar bookkeeping tools is a plus
- Experience in personal assistant roles or administrative support positions that required time management and organizational excellence
