Purpose of Department:
The Office of Admissions provides information to high school students and transfer students who are interested in pursuing a bachelor’s degree at Peace.

Summary of Position:
The Campus Visit & Guest Specialist is integral to the recruitment of traditional first year and transfer undergraduate students to William Peace University. This position reports to the Assistant Vice President of Admissions and leads the Admissions Campus Tours and Events Team in coordinating all on campus events as well as daily tours. This position is responsible for oversight of the University Welcome Center, greeting all campus visitors and answering calls to both the University line as well as the Admissions line.

Essential duties and responsibilities:
  • Responsible for positively representing the University to guests and effectively coordinating the campus visit experience; greet all university visitors and guests including potential students, parents, and family members; manage the university main telephone line, answering questions and/or redirecting calls.
  • Serve as the first point of contact for personalized visits and events (Daily Tours, Open Houses, Admitted Student Days, etc.) for the Office of Admissions and William Peace University.
  • Responsible for building personalized visit agendas that fulfill visitors’ needs and comprehensively represent the William Peace University undergraduate experience, including admissions counselor appointments, tours, class visits and departmental meetings for prospective students. This includes working with campus constituents and managing Admissions Counselor meeting/appointment calendars.
  • Coordinate event registration within the customer relationship management system (CRM) allowing visit and event registration tracking in the system and enabling automated communication with attendees post-registration, as well as before and after attending events.
  • Continually evaluate and implement changes to improve the program as needed.
  • Ensure all events communicated from the Admissions Events Team are added to the Calendar on the William Peace University website.
  • Manage the Admissions Visits and Events Calendar.
  • Provide oversight for group visits, coordinate daily tours and information sessions.
  • Track registrations and attendance from all events/daily visits (in person and virtual) annually.
  • Be cross trained in essential admission counselor knowledge in order to:
    • Provide pre-tour presentations and meet with families before or after tours.
    • Attend college nights (or other recruitment travel) as needed.
    • Provide support for Admission Counselors in reading and reviewing applications when needed (high volume, counselors out traveling, etc.).
  • Conduct thorough assessments of the campus visit experiences to measure success by developing, tabulating, and reviewing surveys and adjusting the campus event/visit to respond to analytics.
  • Continually recruit, hire, train and supervise the Admissions Student Ambassadors, a team of traditional undergraduate students who:
    • Lead daily campus tours.
    • Provide support at admissions events.
    • Actively engage prospective, admitted and deposited students through emails, and various call campaigns. Serve on Admission Counselor territory teams and perform duties as assigned on a regular basis
    • Support general office operations and projects as needed.
  • Supervisory Responsibilities include:
    • All appropriate hiring, training, review, and termination of the Student Ambassador team. This includes regular training and professional development of the Ambassador team.
    • Training Student Ambassador(s) to perform data entry of prospective student information, ensuring accuracy of information by following established data input guidelines and procedures.
    • Establishing the tour route as well as all talking points of the tour, essentially representing the entire campus community to all relevant stakeholders.
    • Managing the Student Ambassador budget, timecards, and schedules to ensure appropriate coverage at all tours and events.
    • Managing the safety measures of the student Ambassadors while they are working in the Welcome Center.
  • Coordinate newly established student call campaigns (a high priority outreach initiative):
    • Assign specific campaigns and timelines to completion to students as appropriate.
    • Track progression of calls to ensure students meet assigned deadlines.
    • In partnership with the Assistant Vice President of Admissions, write all call scripts as well as follow up emails to be sent through Slate when voicemail is left.
  • Manage the Admissions Email account, which includes but is not limited to:
    • Forwarding emails to appropriate counselors based on territory.
    • Coordinating follow-up of information requests from all constituents.
    • Uploading transcripts, transfer evaluations, financial aid award packages, and all relevant documents into Slate CRM.
  • Coordinate all outgoing mailings to include, but not limited to, admissions letters to admitted students and their parents, admissions packets, admitted student mailings (TUG and SPS), deposited student mailings (TUG and SPS) and information requests from all constituents.
  • With the Director of Admissions, represent the Office of Admissions on the Campus Wide Onboarding Committee and work with campus partners to:
    • Coordinate back-end set up of all events in Slate to ensure all appropriate post registration, and pre and post event comms are running.
    • Check in attendees and track for all relevant offices.
    • Work throughout the year with campus partners to establish best practice onboarding protocol and implement practices as needed.
  • Work effectively with diverse groups of prospective students, families, employees, visitors, and guests.
  • Coordinate and track inventory of all Admissions advertising materials and “swag.”
  • Ensure University policies and procedures are followed as it relates to administrative processes, including but not limited to, personnel, financial, purchasing, and event planning responsibilities.
  • Work with the Assistant Vice President of Admissions to develop and implement an action plan for each major visit, ensuring effective operation of events including scheduling and assigning operational staff, production of materials, logistics, communication with attendees, etc.
  • In partnership with the Assistant Vice President of Admissions, collaborate with internal constituents to ensure quality programming at recruitment events. This includes but is not limited to Financial Aid, Career Services, Family and International Services, Director of Immersive Learning, Residential Life, Student Life, Academic Affairs, Advancement (Alumni Affairs), Marketing, the President’s Office, and any other cross-departmental offices.
  • Other duties as assigned.


Minimum Qualifications:
  • Bachelor’s degree and two years of relevant experience.
  • Excellent computer skills including Microsoft Office suite.
  • Excellent oral and written communication skills.
  • Ability to maintain the highest degree of confidentiality and professionalism.
  • Ability to work independently, completing work in a thorough and timely manner.
  • Ability to tackle multiple tasks with initiative and balance competing demands.
  • Ability to provide exceptional customer service.
  • Valid NC driver’s license (or ability to obtain) within six months of hire.


Preferred Qualifications:
  • Supervisory experience.
  • Experience in a higher education setting, preferably in a similar role.
  • Experience with a CRM (Slate is a plus).
  • Bilingual in English/Spanish.
