Car Rental Operation Associate

Position: Rental Reception Coordinator

Location: St. George Regional Airport, St. George, UT

Hours: 15 to 30 hours per week, from 9:00 am to 10:30 pm (hours can be paired with other employee schedules and will have smaller blocks but this window is how much this position paired with other employees will cover. If hired we will try and build a schedule that fits best with your needs as best we can)

Responsibilities: As our Rental Operator at Vroom.Me, you will be responsible for a variety of tasks to ensure the efficient functioning of our operations. Your key responsibilities will include-

Customer Service:

Greet customers warmly and assist them with their rental needs.

Provide information about rental options, rates, and additional services.

Address customer inquiries, concerns, and complaints in a professional manner.

Ensure customer satisfaction throughout the rental process.

Booking Assistance:

Assist customers in booking car rentals, ensuring accurate contract execution.

Collect necessary customer information, insurance details, and driver's license information.

Provide exceptional customer service by addressing inquiries and resolving issues promptly.

Reservation Management:

Following the systems in place for rental reservations accurately and efficiently.

Verify customer information and required documentation.

Coordinate vehicle availability and ensure timely pickups and drop-offs.

Maintain reservation records and update rental database as needed.

Paperwork and Documentation:

Prepare rental agreements and other necessary paperwork.

Explain rental terms, conditions, and policies to customers.

Verify driver's licenses, insurance coverage, and payment methods.

Ensure all documentation is completed accurately and filed appropriately.

Vehicle Inspection/Maintenance and Vehicle Transport:

Conduct vehicle inspections before and after rentals.

Document any damages or discrepancies and report them to the appropriate personnel.

Coordinate, and assist with, vehicle cleaning, refueling, and maintenance schedules.

Assist with vehicle transportation as needed, ensuring timely and safe delivery.

Administrative Tasks:

Assist with administrative duties such as answering phones, responding to emails, and filing paperwork.

Maintain cleanliness and organization at the rental desk and office area.

Collaborate with other team members to ensure smooth operations.

Tackle a range of daily operational tasks, contributing to the overall efficiency of the office.

Vehicle Maintanance:

Wash, vacuum, and detail rental vehicles to company standards.

Clean interior surfaces, windows, mirrors, and floor mats.

Remove trash and personal items left behind by customers.

Inspect vehicles for cleanliness, damage, and maintenance concerns.

Refuel vehicles as needed and verify fuel levels before rental.

Check fluid levels and tire pressure; report any issues.

Move vehicles between parking areas, cleaning stations, and customer pickup locations.

Ensure vehicles are properly staged and ready for customer rentals.

Maintain a clean and organized vehicle preparation area.

Restock cleaning supplies and notify management when inventory is low.

Perform quality checks to ensure vehicles meet presentation standards.

Assist with lot organization and fleet appearance.

Qualifications and Qualities: We are seeking a candidate who possesses the following qualifications, skills, and qualities-

Organizational Skills:

Ability to manage multiple tasks simultaneously, maintain accurate records, and keep track of important details.

Customer-Centric Approach:

Strong communication skills and a genuine desire to assist customers in a friendly and professional manner.

Attention to Detail:

Thoroughness in completing tasks accurately, especially when dealing with contracts, payments, and customer information.

Adaptability:

Willingness to adapt to a dynamic work environment, taking on various responsibilities and learning new skills.

Valid Driver's License: Necessary for potential vehicle transport tasks.

Age Requirement: Must be 21 years old or older due to insurance regulations.

Compensation: The compensation for this role ranges from $16 to $18 per hour, depending on the applicant's experience and the scope of duties performed.
