CARE Elementary Administrative Assistant & Food Service lead

Job Overview
We are seeking a dynamic and highly organized CARE Elementary Administrative Assistant to join our dedicated team under the supervision of the CARE Administrative Officer. In this vital role, you will assist as the first point of contact for visitors, staff, and parents, ensuring smooth daily operations within the school office. Your proactive approach and excellent communication skills will help foster a welcoming environment while managing essential administrative functions. This paid position also includes the responsiblity of being the Food Service Lead for our catered lunch program. Allowed time will be given to complete both roles. This position offers an exciting opportunity to contribute to a nurturing educational community and support the overall success of our students and staff.

Responsibilities

  • Greet visitors, parents, and staff with professionalism and warmth, providing exceptional customer service at the front desk
  • Manage phone system, directing calls efficiently and courteously using proper phone etiquette
  • Maintain accurate records through data entry, filing, and document proofreading to ensure organizational clarity
  • Oversee calendar management and schedule appointments for school administrators and staff
  • Handle office management tasks including supply inventory, mail distribution, and maintaining a clean, organized workspace
  • Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations
  • Support bookkeeping activities using software for financial recordkeeping and tracking expenses.
  • Lead the food program a CARE for breakfast, Lunch and snack, and assist CARE Administration with maintaining the requirements of the National Free and Reduced Lunch Program.

Skills

  • Proven experience in office management, clerical work, or administrative support within an educational or similar setting
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Excellent typing speed and computer literacy with proficiency in Microsoft Office and Google Workspace applications
  • Bilingual abilities are highly desirable to serve diverse community needs effectively
  • Knowledge of multi-line phone systems, data entry procedures, filing systems, and proofreading techniques
  • Exceptional customer support skills coupled with professional phone etiquette
  • Personal assistant experience or previous office experience that demonstrates reliability and attention to detail
