The Program Assistant for Career & Technical Education (CTE) provides administrative, clerical, and logistical support to the CTE office. This role ensures the smooth operation of CTE programs, including support for teachers, students, employers, and community partners. The assistant supports program documentation, scheduling, purchasing, communication, and compliance tasks to further career readiness initiatives and workforce development programs.
Essential Job Functions:

Maintains complete records of all financial transactions in a well organized financial filing system

Establishes and coordinates the efficient operation of several account lines to include local and Perkins grant funds; monitors budget status

Reconciles accounts and provides reports for the central office; maintains detailed records of expenditures; processes Invoices within terms of payment

Balances MUNIS with SSWS in Omega

Prepares & submits Reimbursement Requests to VDOE under Perkins Grant which ensures compliance with grant guidelines

Prepares Amendments to the Perkins V Grant

Prepares annual reports and records in compliance with auditor’s regulations

Receives and screens visitors, telephone calls and mail; personally responds to inquiries by making decisions which in the employee’s judgment do not require the supervisor’s attention

Prepares time sheets and monthly payroll for the Office of Career and Technical Education and Perkins

Coordinates events and logistics for division wide events as needed, including the ordering of materials and supplies

Supports division initiatives (4E Educational Expo) and Office of CTE initiatives such as Mock Interview day and the Intern Expo

Arranges travel for CTE Office, Instructors & CTSOs; Prepares, submits and processes travel expense claims for all individuals listed under the 310 location, Career Readiness

Maintains financial reports and provides information to leadership as requested.

Communicates with vendors to secure and maintain supplies and equipment.

Prepares Purchase Orders, place & follow up on orders for all CTE instructors throughout Division

Processes new vendor information and submit to accounts payable

Provides minutes & agenda for all members. Set up, record discussions, and take minutes at all Advisory Committee meetings

Processes Professional Development reimbursements for all CTE instructors and administration.

Processes payroll for location 310 - Career Readiness

Serves as the back up payroll secretary for SCTC

Manages Leadership’s calendar and the Office of CTE Conference Room space

Education and Experience:
Required

High School Diploma or GED
-
Three (3) years of experience in a bookkeeping, accounts payable or related position
Preferred

Associates Degree in Finance, Accounting or related field

Employment Terms: Employment is offered as an 12-month (243 Day) contract, at a minimum of 7.5 hours worked daily. This position is evaluated annually.
