Case Management Assistant for solar and timeshare contracts

About the Role

We are seeking a detail-oriented Case Management Assistant to support our team in handling client files related to timeshare and solar contract terminations. This role involves client communication, document collection, and CRM management to ensure cases move efficiently.

Responsibilities

  • Contact clients to schedule and confirm calls
  • Follow up via phone and email to collect required documents
  • Maintain accurate notes and updates in HubSpot (calls, emails, tasks)
  • Organize and manage client files
  • Track case progress and ensure timely follow-ups
  • Assist Case Managers with onboarding and case coordination

Requirements

  • 1+ year of administrative, customer service, or case management experience
  • Strong phone and email communication skills
  • Highly organized with strong attention to detail
  • Ability to manage multiple tasks and deadlines
  • Comfortable working in a remote environment
  • Experience with CRM systems (HubSpot preferred)

Preferred (Not Required)

  • Bilingual (English/Spanish)
  • Experience in timeshare, solar, or legal support
