Position Overview

We are seeking a detail-oriented and dependable Customer Service Representative / Record Retrieval Specialist to join our team. In this role, you will act as the liaison between our clients and records custodians, ensuring record requests are processed accurately, followed up on timely, and documented throughout the retrieval process.

This position is ideal for someone who enjoys problem-solving, customer service, phone communication, and managing multiple tasks in a fast-paced office environment.

Essential Duties & Responsibilities

  • Maintain and manage follow-up calendars for outstanding record requests.
  • Contact medical providers, businesses, government agencies, and other records custodians by phone and email.
  • Follow up on pending requests to ensure records are received within required timeframes.
  • Process incoming records, invoices, and correspondence.
  • Document all communications, updates, and order activity in company systems.
  • Escalate overdue or problem orders to the appropriate department.
  • Coordinate copy assignments and document delivery services as needed.
  • Assist clients with status updates, account inquiries, and general customer service needs.
  • Research provider and facility information when necessary.
  • Perform data entry and maintain accurate records.
  • Collaborate with team members to resolve issues efficiently and professionally.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum 1 year of customer service, administrative, call center, medical, legal, or insurance-related experience.
  • Strong communication skills, both verbal and written.
  • Excellent organizational and time-management skills.
  • Ability to multitask and prioritize work in a fast-paced environment.
  • Proficiency with Microsoft Office, Outlook, Adobe Acrobat, and web-based applications.
  • Accurate data entry skills and typing speed of 35+ WPM.
  • Reliable attendance and punctuality.

Preferred

  • Experience with medical records, subpoenas, record retrieval, or legal support services.
  • Knowledge of medical, legal, or insurance terminology.
  • Experience working with high-volume case management or document processing.
