Kosher Catering Administrator

Responsibilities
- Manage front desk duties, including greeting visitors and clients with professionalism and warmth
- Handle multi-line phone systems, directing calls accurately and courteously
- Maintain organized filing systems for invoices, orders, contracts, and client records
- Prepare, send, and follow up on catering proposals for prospective clients
- Coordinate event bookings and assist clients throughout the reservation process
- Support bookkeeping tasks using QuickBooks to process payments, track expenses, and reconcile accounts
- Assist with calendar management for catering events and staff schedules
- Enter data accurately into spreadsheets and databases, ensuring up-to-date information for reporting purposes
- Provide excellent customer support by addressing inquiries promptly via phone or email
- Proofread documents, proposals, and correspondence to ensure clarity and professionalism
- Coordinate office supplies inventory and manage office administration tasks efficiently
- Work closely with management to ensure all event details are accurately communicated and executed
Requirements
- Proven office experience with strong clerical and administrative skills
- Experience preparing proposals, coordinating bookings, or managing client accounts preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Strong typing skills and computer literacy to handle data entry and document proofreading
- Exceptional phone etiquette with experience managing multi-line phone systems and customer interactions
- Strong written communication skills for preparing professional proposals and client correspondence
- Bilingual abilities are a plus to serve diverse clients effectively
- Previous office management or personal assistant experience preferred
- Ability to handle confidential information discreetly and professionally
- Demonstrated time management skills to prioritize tasks efficiently
- Customer-focused mindset with the ability to build positive relationships and convert inquiries into booked events
