Job Summary
Two Roosters Ice Cream is hiring a part-time (15-20 hours) Catering and Concessions Administrative Assistant to join our growing team. This hybrid role (remote and in-person) is for a self-starter who takes initiative and ownership of their work, confidently operating both as part of a team and independently.
The Catering and Concessions Administrative Assistant's primary responsibility is to support the Director of Catering and Concessions by managing a wide range of administrative tasks. This is a crucial role that ensures all events run smoothly.
Schedule
This is a part-time position, requiring approximately 15-20 hours per week. The role is a hybrid role, with requirements to fulfill working hours during the hours of 9am-5pm EST. There is also a requirement to attend a mandatory team meeting every Monday at 9am EST.
Key Responsibilities

Administrative Support: Monitor, screen and prioritize incoming emails for the Director of Catering and Concessions and gather event details to provide a comprehensive overview to the team.

Client Communication: Be the point person for reviewing client timelines and confirming details for upcoming events (corporate events, private events, weddings, etc). Follow up on outstanding proposals via phone and email communication.

Calendar and Event Management: Update the master calendar for all catering and concessions events, ensuring all details are accurate and up-to-date. Monitor and update event times and information within.

Data Entry & Reporting: Keep our financial records accurate by updating venue commission spreadsheets for all Catering and Concessions operations and other data tracking spreadsheets.

Marketing & Communication: Monitor and maintain consistent branding and descriptions across various marketing platforms, including The Knot, Wedding Wire, LinkedIn, and local business directories.

Project Management: Drive administrative projects that improve customer relations, such as organizing Christmas cards, thank you notes, client gifts, etc.

Process Documentation: Record, update, and evaluate standard operating procedures across all catering and concession activities.

Daily Operations: Participate in a brief, daily stand-up meeting to align on priorities and tasks.

Other Duties: Perform other administrative duties, related to catering and concession operations, as requested by management
Qualifications & Skills

Education/Experience: High school diploma, some college and/or appropriate combination of education and work experience to support on-the-job effectiveness.

Tech Savvy: Working knowledge of Microsoft products. Familiarity with the following software is beneficial, but not required, as they can be taught: HoneyBook, Marketman, ConnectTeam, Gmail, Gusto, and Ramp.

Organizational Skills: You are meticulous with details and highly organized.

Communication: You have excellent written and verbal communication skills.

Proactive & Adaptable: You can work independently, manage multiple tasks simultaneously, and adapt to changing priorities in a fast-paced environment.

Love of ice cream: You enjoy eating ice cream (or non-dairy frozen desserts).

Technology Requirements: Must own a phone that can text and make calls; a computer that can be used for work purposes; and access to the internet.
