Center Relations Coordinator:
The Center Relations Coordinator is central to the success of our various center locations across Southern California. This role ensures the smooth and orderly operations of the center, providing direct support to the Center Director on a daily basis.

In the absence of the Center Director, the Center Relations Coordinator will professionally represent the Center and Braille Institute to both internal and external stakeholders building trust and confidence in how we deliver services.

Duties and Responsibilities:
  • Coordinates and performs the administrative and office management functions of the center including document preparation, monitor center budget, flow of correspondence, filing, purchase orders and pay bills, and requisition of materials and supplies. Works closely with Accounting to keep accounts current.
  • Assists the Center Director in ensuring that onsite functions of the office are running smoothly.
  • Customer Service: Delivers excellent customer service to staff, clients, and partners at every point of contact.
  • Answers incoming calls; provides answers/direction, or re-direct to appropriate resource for response. Evaluates opportunities to improve Center operations, updates procedures/policies, or equipment in new ways to improve efficiency and workflow. Collaborates with other Center Coordinators to learn, implement, and share best practices.
  • Communications: Manages both internal and external communication channels to ensure smooth Center operations. Serves as a point of contact for staff, clients, and partners, handing inquiries and directing them appropriately.
  • Utilizing Braille Marketing style guidelines may produce marketing collateral/materials for public events, activities, or company meetings.
  • Supports the Center teams in administrative tasks as needs arise.
  • Files and organizes office documents, invoices, and manuals. Following Braille Institute of America Record Retention Procedures, implement systematic retention, protection, retrieval, transfer and disposal of electronic and paper document procedures.
  • Liaise with vendors of required office supplies and takes inventory.
  • Assists with onboarding new team members; ensures workspace is set up properly; orders supplies and ensures all equipment is secured before new employee begins with Braille Institute of America.
  • Depending upon the center, may greet visitors and direct them to appropriate resources, programs, or services. May be called upon occasionally to represent Braille Institute of America at external events or activities.
  • Assist with the coordination of events at the Center, provide tours, and host visitors.
  • Will handle all student and patron concerns and issues including any conduct problems. Escalates issues as necessary to the Center Director or Vice President, Programs and Services.
  • Assists with Volunteer Impact Program (VIP) coordination. Ensures volunteers are properly onboarded and understand their assignments; liases with the Volunteer Impact Program Coordinator to maximize the contribution of all volunteers.
  • In smaller Center locations, the Office Coordinator may manage the company's fleet at the center including reservations, maintenance, and ensures that insurance coverage and registrations are up to date. Will collaborate with Facilities to address any repairs, setting up service with vendors for any equipment repairs, (for example)., Heating, Ventilation, and Air Conditioning.
Knowledge, Experience and Education:
  • Minimum 5-7 years' relevant experience is required.
  • AA Degree or higher or equivalent experience.
  • Bi-lingual (English/Spanish) proficiency is preferred.
Skills and Abilities:
  • Strong knowledge of full Word suite including Microsoft Word, Excel, PowerPoint (or equivalent).
  • Technically astute; comfortable learning new applications and systems.
  • Ability to multi-task and handle a wide variety of issues, topics, challenges. Strong written and oral communication skills.
  • Conflict management skills.
  • Ability to work independently using discretion and judgment in carrying out duties.
  • Travel requirements are minimal.
Schedule:
  • 7.5-hour day.
  • Day shift.
  • Monday-Friday.
Work Location:  On site

Work Environment: Position works in a standard office environment.

Salary range: $50,000-$54,000
