Job Summary:

The Central Supply and Scheduling professional is responsible for evaluating facility need, ordering and maintaining adequate resident care supplies. This role ensures an efficient, accurate system to properly identify charges for resident care supplies.

Responsibilities and Major Duties:

  • Collect data on the amount of supplies needed from facility employees as directed
  • Identify type and amount of each item to be stocked within the facility ordering processes
  • Maintain supplies in a neat, clean, and organized manner
  • Follow instructions for proper storage of supplies
  • Receive, review, and have requisitions approved before ordering
  • Keep accurate, organized records of the type and amount of supplies received
  • Receive incoming supplies and verify with original purchase order
  • Send invoices to the business office promptly for payment
  • Report all problems with ordering and obtaining supplies promptly to administration
  • Ensure transcription of clear and accurate supply orders
  • Follow verbal and written instructions as provided
  • Observe infection control procedures
  • Follow Residents' Rights policies at all times
  • Adhere to all facility policies and procedures and ensure they are adhered to by all responsible parties
  • Assist with the management and coordination of the designated staffing schedules, both daily & monthly
  • Receive, track, review, and report all call offs and/or attendance violations for the employees of the facility to the appropriate party
  • Assist in the process to establish coverage for all attendance situations for the assigned departments
  • Ensure the appropriate schedules are posted timely for staff usage per established guidelines
  • Participate as requested in the recruitment and hiring of all employees
  • Develops, implements, and coordinates the day-to-day scheduling and assignments of nursing staff consistent with PPD management and minimum staffing requirements
  • Attends and participates in in-service training and other meetings as scheduled and directed
  • Treats all residents, visitors, and staff with courtesy
  • Assists in orientation and training of employees as assigned
  • Assists in the planning, scheduling, and implementing of general orientation if needed
  • May assist in the maintenance of records of all in-servicing for all staff
  • Monitors labor hours to ensure scheduled hours don't exceed budgeted work hours
  • Assist in all general office/clerical duties for the facility
  • Observe infection control procedures
  • Ensure the Resident Assessment Instrument (RAI) process is followed in accordance to State & Federal Guidelines
  • Follow Residents' Rights policies at all times
  • Adhere to all facility policies and procedures and ensure they are adhered to by all responsible parties and carry out disciplinary action for non-compliance as appropriate
  • Ensure adherence to the Corporate Integrity Program and the Performance Expectations at all times

Requirements:

  • High School Diploma or equivalent required
  • Ability to read, write, and understand the English language required
  • Prior experience working in a long-term care facility managing the inventory of supplies preferred
  • Certification as an Activities Professional preferred
  • Successfully complete and/or comply with all required background checks, including but not limited to: Ohio BCI&I fingerprint analysis, FBI (if applicable) fingerprint analysis, Nurse Aide Registry, HHS/OIG list of Excluded Individuals/Entities (LEIE), and Ohio Medicaid Provider Exclusion and Suspension List

Work Environment:

May be exposed to heat and cold in all weather conditions. Works regularly under desirable conditions with little or no disagreeable features.
