Job Title: Central Supply Coordinator

Schedule: Full-time (Monday-Friday) • 8am to 4pm

Pay: Up to $50,000 Annually

Position Summary:

The Central Supply Coordinator is an essential role within a skilled nursing facility, responsible for the efficient management and operation of the central supply department. This position oversees the procurement, storage, and distribution of medical supplies and equipment, ensuring that the facility has the necessary resources to provide high-quality resident care. The ideal candidate is a highly organized and detail-oriented individual with strong inventory management skills and a comprehensive understanding of medical supplies and equipment.

Essential Duties and Responsibilities:

  • Inventory Management:
  • Ensure adequate stock levels of medical supplies and equipment. Monitor par levels and reorder points for all items.
  • Conduct regular physical inventory counts and reconcile with electronic records
  • Identify and address any discrepancies or stock shortages promptly to minimize waste, theft, or obsolescence of supplies.
  • Procurement and Purchasing:
  • Research and evaluate vendors for medical supplies and equipment. Negotiate pricing and contracts with suppliers.
  • Process purchase orders and ensure timely delivery of goods.
  • Stay informed about new products and technologies in the healthcare industry.
  • Collaborate with other departments to determine their supply needs.
  • Receiving and Storage:
  • Oversee the receiving and inspection of all incoming supplies and equipment.
  • Ensure proper storage and handling of materials to maintain quality and sterility.
  • Maintain a clean, organized, and safe central supply storage area.
  • Distribution and Dispensing:
  • Efficiently distribute supplies to various departments within the facility as needed.
  • Budget Management:
  • Track expenditures to match department budget. Identify cost-saving opportunities.
  • Quality Control:
  • Ensure that all supplies and equipment meet established standards. Monitor expiration dates and rotate stock to prevent the use of expired materials.
  • Adhere to infection control protocols and safety regulations.
  • Collaboration and Communication:
  • Work closely with nursing staff, department heads, and administration to ensure that supply needs are met. Communicate effectively with vendors, suppliers, and other stakeholders.
  • Participate in facility-wide committees and meetings as needed.

Secondary Duties and Responsibilities:

Medical Records

  • Provide administrative and clerical support to the Medical Records Director.
  • Assist in assembling and organizing new resident admission packets and charts.
  • File medical documents, lab reports, consultant reports, and other correspondence into resident medical records in a timely and accurate manner.
  • Maintain the organization of in-house medical records, including thinning charts and storing excess information per facility policy.
  • Assist in the process of closing out discharged resident records, ensuring all documentation is complete and properly filed.
  • Retrieve medical records for staff, physicians, and other authorized personnel as requested.
  • Assist with logging and processing requests for the release of medical information, ensuring confidentiality is maintained.
  • Support quality assurance activities by pulling charts for audits and assisting with data collection under the director's guidance.
  • Maintain the cleanliness and organization of the medical records office and filing areas.
  • Perform other duties as assigned by the Medical Records Director.

Qualifications:

  • Education: High school diploma or equivalent required. Associate or bachelor’s degree preferred.
  • Experience: Minimum of three years of experience in central supply or materials management in a healthcare setting, preferably in a long-term care facility.
  • Skills:
  • Strong inventory management and organizational skills.
  • Proficient in Microsoft Office Suite or similar software.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of medical supplies, equipment, and their applications.
  • Understanding of infection control principles and safety regulations.
  • Familiarity with healthcare purchasing and procurement procedures.
  • Experience with inventory management software is a plus.

Physical and Sensory Requirements:

  • Must be able to move intermittently throughout the workday.
  • Must be able to lift, push, and move heavy equipment and supplies.
  • Must be able to speak and write the English language in an understandable manner.
  • Must possess sight and hearing senses, or use prosthetics that enable these senses to function adequately to meet the position's requirements.
  • Must be in good general health, demonstrate emotional stability, and be able to cope with the mental and emotional stress of the position.
  • Must be able to assist in the evacuation of residents.

Work Environment:This position involves working in a dynamic healthcare setting, providing care throughout the facility. The role requires the ability to manage frequent interruptions while maintaining a high level of professionalism and compassion.
