About the Company

Fabrica GSM Limited is a global telecommunications trading company headquartered in Hong Kong, with operational links in Amsterdam and Dubai.

We specialize in Apple & Samsung B2B wholesale, international logistics, bonded warehouse operations, and global supply chain management.

You will be working directly with the CEO, assisting with daily operations, logistics coordination, and executive-level tasks.

Job Responsibilities

Executive Assistant to the CEO

  • Manage CEO’s calendar, schedules, reminders, and priorities
  • Prepare reports, summaries, and follow-ups
  • Handle CEO’s communications (email, WhatsApp, internal messages)
  • Maintain high confidentiality and professional communication
  • Coordinate between CEO and teams in HK / NL / Dubai
  • Track pending tasks and ensure timely completion

Shipment & Logistics Tracking

  • Daily tracking of global shipments (UPS, DHL, FedEx, Aramex, TNT)
  • Verify invoice, packing list, AWB, IMEI list, and document accuracy
  • Follow up with forwarders regarding delays or customs issues
  • Maintain structured digital shipment archives
  • Update CEO regularly with clear reporting

Office & Administrative Management

  • Maintain Google Drive folders and digital documentation
  • Prepare simple spreadsheets, internal documents, and price lists
  • Organize data, records, IMEI files, and shipment logs
  • Assist with business communication and operational tasks
  • Support CEO in any daily business-related tasks, online research, coordination, or problem-solving

Requirements

  • Experience as Executive Assistant / Office Manager / Admin Coordinator preferred
  • Basic logistics or shipment document familiarity (AWB, invoice, packing list) is a plus
  • Excellent communication skills in English
  • Strong attention to detail (very important for this role)
  • Proficient with Google Sheets / Excel
  • Able to follow instructions, complete tasks independently, and report clearly
  • Comfortable with repetitive and detail-oriented workflow
  • Ability to work full-time HK time
  • Quiet working environment + stable internet

Job Type: Full-time

Pay: 45,000.00TRY - 540,000.00TRY per month
