The Chief Deputy Court Clerk performs a variety of clerical and administrative support tasks to support the operations of the municipal court. The Chief Deputy Court Clerk works under the direction of the Court Clerk and Municipal Judge while court is in session.
Essential Job Functions:
- Preservation, maintenance and dissemination of all records originating out of the municipal court.
- Collection of all fines and fees assessed in the municipal court
- Accurate record keeping of fine and fee payments.
- Attends all court sessions on scheduled court dates to assist the Judge, Prosecutor, attending attorneys and defendants.
- Record keeper for all municipal court orders, judgements, dockets and minutes.
- Determines what information is a public record and can be released without redaction.
- Assists the court clerk with supervising the daily operations of the clerk’s office including the supervision of other deputy court clerks.
- Assists the court clerk in Interviewing candidates for open deputy clerk positions and makes recommendations for hiring new staff.
- Assists the court clerk with performance evaluations of deputy court clerks and makes recommendations concerning promotions and disciplinary actions.
- Assists the court clerk with budget preparation.
- Assists the court clerk with technology issues.
- Assists the court clerk with purchasing and facility needs.
- Assists the court clerk with financial and state reporting requirements.
Knowledge, Skills and Abilities:
- Excellent use of verbal and written communication skills.
- Attention to detail and ability to verify the accuracy of the work performed by other deputy clerks.
- Knowledge of court case management systems with preference for experience with Incode Version 9.
- Knowledge of Microsoft Office including Outlook, Word and Excel.
- Excellent team building and conflict resolution skills.
- Knowledge of budgetary process in municipal government.
- Ability to multitask in a face-paced environment.
Education and Experience:
High school diploma required; Bachelor’s or Associate’s degree in criminal justice or public administration preferred. 5 years experience as a head court clerk or court administrator in a municipal court is required. Experience with InCode software version 9 is preferred.
