We’re looking for a Chief of Staff and Business Operations Partner to work directly with a mission-driven founder building projects in education, wellness, and community development. This role blends executive support, grant operations, project management, content coordination, and system building.
You’ll manage grants, streamline operations, support course launches, and organize communications across multiple workstreams. If you thrive in dynamic environments, take ownership without being asked, and can turn broad ideas into structured execution, this role is a strong fit.

What You’ll Work On:
Grant and Funding Operations
- Build and maintain a CRM system for funders, applications, and reporting
- Draft grant applications and reports, using AI tools to support research and writing
- Research and track new grant opportunities and deadlines
- Prepare compliance documentation and maintain submission calendars
- Maintain strong communication and follow-up workflows for active grants
Business Operations and Administration
- Set up internal systems, workflows, and light automations
- Manage inbox, calendars, and recurring schedules
- Support bookkeeping, expense tracking, and documentation
- Maintain and update simple landing pages or websites
- Create internal organization across Google Workspace, Notion, and shared files
Course Development and Launch Support
- Conduct research for course materials, worksheets, quizzes, and case studies
- Format learning materials using Canva and Google Suite
- Upload and manage content within LMS platforms such as Teachable or Thinkific
- Support launch timelines, onboarding emails, and student communications
- Coordinate logistics for sessions, calls, and participant engagement
Community and Marketing Support
- Draft emails, outreach messages, and light marketing communication
- Help manage WhatsApp groups and community-based channels
- Support social content planning and coordinate with the founder on posting needs
- Prepare visuals, one-pagers, and simple brand-aligned documents
- Assist with scheduling and coordination for live events or course sessions
What You Bring:- 3 or more years of experience as an Executive Assistant, Chief of Staff, or Operations Lead
- Strong written English and excellent communication skills
- Proficient with Canva, Google Workspace, Notion, CRM tools, and cloud organization
- Experience in grant writing, course operations, or content development
- Comfortable using AI tools to support research, writing, and project work
- Confident managing multiple workstreams independently and prioritizing effectively
- Experience with LMS platforms and light technical troubleshooting
Nice to Have
- Experience in content marketing or community engagement
- Background in nonprofit operations, reporting, or grant management
- Experience managing content calendars or social media workflows
- Ability to support light branding, formatting, or visual storytelling
