About the Position

We are a fast-paced, high-energy acupuncture and chiropractic clinic seeking a motivated, people-oriented team member. The position involves frequent movement, including walking between exam rooms and alternating periods of sitting and standing. Strong multitasking ability, attention to detail, ability to follow directions and a positive attitude are essential.
You will engage with a diverse range of patients both in person and over the phone, providing exceptional customer service and supporting the clinic’s day-to-day operations. Friendliness and professionalism are a must.
Position Details
- Type: Part-Time *about 18-20 hrs per week* (with potential for increased hours and responsibilities after training/probationary period if desired)
- Schedule: Flexible, with primary availability needed Monday, Tuesday and Friday
- Hours: Vary depending on clinic needs and special events
Key Responsibilities
- Greet and check in patients in a friendly, professional manner
- Ensure completion of all patient intake forms and obtain required signatures
- Accurately enter and update patient demographics, health, and insurance information
- Verify insurance coverage and benefits prior to appointments
- Schedule, reschedule, and manage daily patient appointments
- Coordinate with doctors, therapists, and Office Manager to optimize schedules
- Handle a high volume of incoming insurance related calls, emails, and verifications
- Check out patients and assist with follow-up appointment scheduling
- Record and input patient vitals when needed
- Collect co-pays, deductibles, and outstanding balances at time of service
- Explain payment policies and billing procedures to patients
- Prepare and file patient documents and maintain electronic health records (EHR)
- Reconcile daily payments and batch summaries accurately
- Assist doctors and staff with clinical tasks as needed
- Prepare exam rooms for patient visits
- Communicate with insurance companies to verify patient benefits and coverage
- Maintain a clean, organized, and professional front office environment
- Perform additional administrative tasks or projects as assigned by management

- Ability to multitask and manage time efficiently in a fast-paced setting
- Positive attitude with a strong work ethic and "problem solving" mindset
- Quick learner with the ability to navigate EHR and office management systems
- Comfortable handling confidential and sensitive information
- Prior experience in a healthcare or customer service role preferred
- Reliable, punctual, and professional demeanor
- Strong telephone etiquette and interpersonal skills
