CHURCH ADMINISTRATIVE ASSISTANT
ZION E. C. CHURCH – ANNVILLE
Reports to: The Church Administrative Assistant reports directly to the Pastor.
I. DEFINITION and PURPOSE
A. The all-embracing purpose is to provide administrative support for the pastor, staff, and volunteer ministry leaders, and provide office management.
II. EMPLOYMENT STATUS
A. Part-time; up to 29 hours per week.
III. MINISTRY QUALIFICATIONS
A. Give testimony and life witness of… (1) being a committed believer in Jesus Christ, and (2) spiritual gifts relevant to leadership of this ministry.
B. Have adequate training and skill to perform the essential roles as outlined below, including (but not limited to) computer and keyboarding skills, proficiency in Microsoft software such as Word, Excel, PowerPoint, Outlook, basic graphic layout skills, ability to manage social media accounts, and aptitude to learn ProPresenter, Church Management Software (CMS), and other computer programs as needed.
C. Be a stable, mature and growing Christian.
D. Be committed to teamwork within the structure of the church.
E. Be in agreement with the Zion E. C. Church Vision Statement.
F. Be involved in ministries in the church according to gifting and passion.
IV. OTHER QUALIFICATIONS
A. Be able to work independently, demonstrate flexibility, and be a self-starter.
B. Will need to be able to work in a team environment.
C. Will need good interpersonal communication skills.
D. Will need to maintain confidentiality and privacy.
E. Will need to exhibit loyalty to the staff and ministry leaders.
F. Membership a plus, but not required.
G. High School diploma or equivalent.
H. Prior experience and knowledge of church administration a plus.
V. SCOPE OF RESPONSIBILITY
ESSENTIAL ROLES:
Administration:
· Responsible for:
- Layout, content, and printing of weekly bulletin.
- Maintaining the CMS database.
- Update digital sign in front of building.
- Setting up weekly worship services on ProPresenter presentation software.
- Assuring that PowerPoint and other media are compatible with the church’s presentation software.
- Keeping website and social media posts current.
- Working with leadership to keep background checks up to date.
- Keeping official records and information up to date.
- Working with the treasurer to ensure bills are paid in a timely manner and that accurate records are maintained.
- Download invoices for payment from vendors and process vouchers for these and other expenses. File a hard copy or digital copy of all invoices in office.
- File copies of all Ministry Council and Congregational meeting minutes.
- Create and distribute event calendar and monthly newsletter.
- Arrange details for weddings, funerals, and other events that require the use of our building and complete the Facility Use Application. Also prepare bulletins for such special events.
- Report CCLI copyright usage.
- Additional administrative responsibilities as needed.
Provide administrative support for all ministries as needed.
Provide administrative support to the pastor.
Office Management:
· Maintain office hours (as determined by pastor and approved by Ministry Council) to answer the phone, serve as receptionist, and to accomplish the above administrative responsibilities.
· Oversee the purchase and maintenance of office equipment, computers, and office furnishings.
· Keep supplies stocked and available.
VI. DAILY RESPONSIBILITIES:
A. Overseeing all incoming email and responding appropriately.
B. Overseeing all incoming mail and outgoing correspondence.
C. Initiate the church “Prayer Chain” as needed.
D. Welcome visitors and handle phone calls in a way that will reflect the vision statement of the church.
VII. WEEKLY RESPONSIBILITIES:
A. Keep a statistical record of attendances and other information for denominational and Zion Church records.
B. Serve as Financial Secretary to record weekly offerings.
C. Serve on the Flower Committee.
D. Serve on the Membership Committee
E. File church bulletins and other church materials as needed.
F. Mail “Welcome” letters to those who have visited our worship services.
G. Prepare a weekly bulletin for Sunday services by collaborating with the pastor to determine what should be listed.
H. Assist the pastor in maintaining his schedule.
VIII. MONTHLY RESPONSIBILITIES:
A. Prepare and distribute the monthly newsletter via hard copy and electronically.
B. Distribute hard copy of Ministry Council meeting minutes to any Ministry Council members as may be required.
Pay: $19.00 - $22.00 per hour
