Job Overview
We are seeking a dynamic and organized Church Office Administrator to lead the daily operations of our church’s administrative functions. This vital role ensures the smooth coordination of office activities, supports church staff and congregation members, and manages essential clerical tasks with enthusiasm and professionalism. Duties
- Oversee daily office operations, including managing multi-line phone systems, front desk duties, and greeting visitors with warmth and professionalism
- Coordinate scheduling for church events, meetings, and appointments using calendar management tools
- Supervise administrative staff and volunteers, providing training and development to ensure high performance
- Manage vendor relationships, including contracts, payments, and service quality to support church activities
- Handle bookkeeping responsibilities such as invoicing, expense tracking, and basic budgeting using QuickBooks or similar software
- Support human resources functions including payroll processing, staff records management, and compliance documentation
- Organize files, maintain accurate records, and ensure confidentiality of sensitive information
- Assist in event planning for church functions, community outreach programs, and special services
Requirements
- Proven experience in office management or administrative roles within a church or medical office setting is highly desirable
- Strong proficiency in QuickBooks for bookkeeping and payroll processing
- Excellent communication skills with a friendly phone etiquette and customer service orientation
- Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
- Supervising experience with a focus on team management and training & development capabilities
- Knowledge of vendor management, budgeting, filing systems, and clerical procedures
- Experience with schedule management tools and calendar coordination to ensure seamless event planning
- Familiarity with human resources practices related to payroll processing and employee records management
- Ability to handle front desk responsibilities confidently while maintaining professionalism at all times
