Church Office Administrator

Redwoods Presbyterian Church in Larkspur is seeking a part-time Office Administrator for 16-20 hours/week. Job duties include office operations; facility coordination; bookkeeping; and support for the church staff, members and volunteers. Two or more years of office experience required. Job Description

Purpose: Coordinates office operations, acts as receptionist to the general public during office hours, oversees rentals of facilities, performs data entry in coordination with treasurer and payroll service, and provides support services for the church staff, members, and volunteers.

Hours: 16-20 hours/week. Vacation and public holidays as per the Personnel Policy.

Relationships: Good working relationships to be maintained with the church staff, the congregation as a whole, and with church officers, volunteers, and guests of the church.

Responsibilities:

  • Typing: Letters, forms, bulletins, documents, newsletters, annual report
  • Filing: Maintaining logical and useable system, both paper and electronic
  • Copying: Printing and maintenance
  • Supplies: Monitoring, ordering
  • Mailing: Responsible for all incoming and outgoing mail, purchase stamps, prepare labels/envelopes, monthly newsletter, letters, and congregational communications
  • Directory: Produce a complete directory yearly, maintain current mailing lists and phone numbers
  • Bulletin: Type, arrange, edit, produce, copy weekly worship bulletin and special occasion bulletins
  • Annual Report: Prepare and publish yearly Annual Report in coordination with pastor.
  • Newsletter: Edit, write, type, produce, copy, and mail printed and electronic versions
  • Website: Weekly editing and updating
  • Telephones: Answer, take messages, screen, transfer calls
  • Information: Answer questions regarding the church, weddings, funerals, rentals and program
  • Bookkeeping: Maintain funds deposited, weekly bank deposits, coordination with payroll for 1099 taxes, track rent and contributions, prepare mail contribution statements twice-yearly, stewardship and pledge gratitude letters once yearly, maintain confidentiality, assist with budget data-entry, and other duties directed by treasurer, financial committee, and pastor.
  • Facilities: Maintain rental schedules of church facilities and keep record of key distribution.
  • Maintenance: Coordinate church repairs and maintenance with contractors as needed.

  • Good editorial skills with attention to detail
  • Ability to multi-task and prioritize work
  • Project a sensitive, courteous, congenial and professional decorum
  • Ability to deal with the public effectively
  • Ability to speak and write English fluently
  • Computer literate: Microsoft Word/Windows and Excel skills for word processing, website editing, newsletter, bulletin/brochure publishing, email correspondence, and data entry
  • Maintain confidentiality of all communications and observations in the church environment
  • Effectively utilize office equipment such as computer, copier, telephone system, fax machine, printer and scanner

Job Type: Part-time

Experience: 2 or more years of office administration experience.

Pay: $30.00 per hour
