Church Secretary

Job Summary
We are seeking a dedicated and organized Church Secretary to serve as the administrative backbone of our church community. In this vital role, you will manage day-to-day office operations, coordinate communication between staff and congregation members, and ensure that all clerical and administrative tasks are handled efficiently. Your positive attitude, exceptional organizational skills, and proficiency with office technology will help foster a welcoming environment for all visitors and members. Duties

  • Serve as the first point of contact by answering multi-line phone systems with professionalism and courtesy, providing excellent customer support and information to visitors and callers
  • Manage front desk responsibilities, including greeting guests, directing inquiries, and maintaining a warm, welcoming atmosphere
  • Oversee calendar management for church events, meetings, and appointments using Microsoft Office tools, including PowerPoint presentations for church services and bulletin boards within the church.
  • Handle data entry, filing, and record-keeping tasks accurately to ensure all church records are current and accessible
  • Prepare Council meeting materials by gathering reports, making copies and distribute to Council member's folders prior to monthly meeting.
  • Coordinate communication through email correspondence, newsletters, and bulletin updates to keep the congregation informed while maintaining confidentiality as needed.
  • Maintain office supplies inventory and manage procurement to ensure smooth daily operations
  • Proofread and review documents for accuracy before distribution, ensuring clarity and professionalism in all communications
  • Responsible for finding volunteers for the various worship service duties for the month, including greeters, lectors, acolytes, sound system technicians, computer and camera technicians
  • Maintain a current list of key holders and provide keys to personnel or collect them, as needed
  • Responsible for maintaining records such as pew cards, AED check dates, items borrowed from the church and the collection of money owed to the church (rental of social hall, tables, chairs, etc.)

Experience

  • Previous office management or administrative experience in a church or similar organization preferred
  • Proficiency with computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry systems
  • Strong organizational skills with the ability to multitask efficiently
  • Excellent phone etiquette with experience managing multi-line phone systems and providing exceptional customer service
  • Clerical experience involving filing, proofreading, calendar management, and personal assistant tasks is preferred

Pay: $13.00 - $17.00 per hour
