Civil Construction Materials Coordinator - Utility & Grading

Job Summary
This position supports the project team from preconstruction through closeout with a strong focus on field-based material coordination and procurement for civil construction projects, including grading, excavation, underground utilities, storm drainage, water and sewer infrastructure, and site development work.

The Procurement Specialist will work closely with Estimating, Project Managers, Foremen, and vendors to source, track, deliver, and manage materials in real time. This role is critical in keeping jobs moving by making sure crews have what they need, when they need it.

This position is ideal for someone willing to act as a runner when needed, picking up materials, visiting job sites, verifying deliveries, and keeping accurate counts of material on hand.

This is not a desk-only position. The ideal candidate is comfortable working in both office and field environments and taking a hands-on approach to supporting civil construction, grading, and utility projects.

Key Responsibilities Include:

  • Material Procurement & Expediting: Coordinate and expedite materials commonly used in civil construction projects, including aggregates, pipe, structures, utility components, erosion control materials, concrete products, and site development supplies.
  • Field Support / Runner Duties: Travel to active grading and utility job sites to track deliveries, verify quantities, resolve shortages, and assist crews with material needs.
  • Inventory Management: Maintain accurate counts of materials and equipment both in the yard and on-site, ensuring proper storage and minimizing loss or overstock.
  • Purchase Orders: Create, enter, and manage purchase orders within the company’s construction accounting software. Track PO status from issuance through delivery and closeout, ensuring accuracy, proper coding, and timely updates.
  • Vendor Coordination: Work directly with suppliers to confirm orders, negotiate pricing, and ensure delivery commitments are met.
  • Sourcing Support: Assist estimating in identifying and qualifying suppliers based on project requirements.
  • Logistics Coordination: Plan and coordinate deliveries, pickups, and transfers between yard, vendors, and job sites.
  • Quality Control: Verify incoming materials meet project specifications before acceptance.
  • Document Control: Track all material-related activity including POs, deliveries, receipts, and transfers.
  • Cost Control: Support Project Managers in tracking material budgets and identifying cost-saving opportunities.
  • Team Coordination: Maintain constant communication with field crews and project teams to anticipate and respond to material needs.

Daily Duties

  • Review daily material needs with Project Managers and field teams
  • Visit job sites as needed to track deliveries, check inventory, and support crews
  • Coordinate and/or perform material pickups and deliveries
  • Receive, inspect, and verify incoming materials
  • Maintain accurate inventory counts and organized storage
  • Enter and update purchase orders in the accounting system and track delivery status
  • Resolve material shortages, damages, or delivery issues quickly
  • Update material logs and tracking systems daily
  • Assist with daily material status reporting
  • Perform other duties as needed to support project success

Requirements

  • High School Diploma or equivalent (relevant certifications are a plus)
  • 5–8 years of experience in construction materials management, logistics, or procurement
  • 1+ years of experience in civil construction, site development, grading, excavation, underground utility, roadway, or infrastructure projects strongly preferred.
  • Strong understanding of construction site operations and material flow.
  • Experience using construction accounting or ERP software for purchase orders (required)
  • Willingness to travel locally to job sites and perform hands-on tasks
  • Valid driver’s license required
  • Strong problem-solving and communication skills
  • Proficiency in Microsoft Office and materials tracking systems
  • High attention to detail with the ability to accurately track inventory, orders, and documentation
  • Strong organizational and time-management skills
  • Ability to adapt to changing project needs in a fast-paced construction environment

Pay: $65,000.00 - $75,000.00 per year
