Claims Support Specialist I

The Case Support Administrator I provides administrative and operational support to our Sales Managers and Technical Staff, facilitating efficient case management from assignment through resolution.

This role supports those Sales Managers, experts, and internal teams in coordinating case activities, maintaining accurate records within internal systems, and ensuring timely communication and follow-up while preserving high-quality service delivery.

This position offers exposure to a diverse range of industries, including insurance, legal, engineering, and construction.

Key responsibilities include case intake and entry, scheduling, tracking case progression, preparing basic documentation, and supporting day-to-day coordination, including routine communication with NFC experts and other involved parties.

The role of Case Support Administrator I requires strong organization, effective communication, attention to detail, and the ability to manage multiple priorities while ensuring a high level of service and confidentiality. You are expected to assist our Finance and Reports Teams as time permits when needed with projects and ongoing tasks.

Primary Responsibilities

  • Assist in the intake and setup of new case assignments.
  • Support and work closely with Regional Sales Managers with day-to-day case coordination and tracking.
  • Communicate with clients, experts, and internal teams regarding case status and updates.
  • Maintain accurate and organized case files within internal systems. (e.g., FileTrac or similar CRM platforms)
  • Establish rapport with our Experts and Peers to promote collaboration and communication to ensure quality and client satisfaction.
  • Assist with scheduling inspections, meetings, and deadlines in support of the Sales Managers, Experts, etc.
  • Monitor and follow up on outstanding items to ensure timely case progression.
  • Prepare and review basic documentation, correspondence, and reports for accuracy and completeness; E.g. Budget Approval Requests, Retention and Deposition Letters, etc.
  • Perform case-related research, including court status checks and document retrieval as needed.
  • Provide general administrative and operational support.
  • Proficient in independent planning, organizing and executing work on an ongoing basis.
  • Work closely with peers in other departments to ensure all customer inquiries are handled promptly.
  • Ensure NFC’s proprietary information and intellectual properties are always protected.
  • Miscellaneous duties as assigned.

Education/Training/Experience

  • Bachelor’s Degree preferred, with work experience; Associate’s Degree accepted with equivalent work experience.
  • 3-5 years of experience in administrative support, legal support, insurance, claims, or a related field.
  • Strong organizational and time management skills with the ability to handle multiple tasks.
  • Excellent written and verbal communication skills.
  • Basic mathematical skills required.
  • High attention to detail and ability to follow processes.
  • Strong decision-making, problem-solving, and collaborative project-management skills.
  • Proficiency in Microsoft Office (Outlook, Excel, Word) Windows, Adobe, Internet Applications, etc.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Knowledgeable in legal terminology.
  • Demonstrated professionalism.

*Hourly Rate can commensurate with experience.
